Job Overview Fundamental Chess Academy is seeking a friendly, organized, and proactive Front Desk & Administrative Assistant to support our after-school academy operations. This position serves as the first point of contact for students and families arriving for classes and events. The ideal candidate is personable and comfortable speaking with parents, attentive to details, and able to recognize opportunities to help families find the right classes, programs, or services. In addition to front desk responsibilities, this role will assist with administrative, organizational, and occasional marketing tasks during quieter periods. Academy ownership/management will generally be onsite and available for support, while the Front Desk & Administrative Assistant takes primary responsibility for day-to-day front desk activity. Responsibilities Welcome students, parents, prospective families, and visitors in a friendly and professional manner Manage student check-ins, reservations, registrations, and basic account questions Learn our academy programs, class passes, memberships, tournaments, and private lesson options in order to confidently answer questions Engage with new and prospective families, identify their needs, and help guide them toward appropriate programs or next steps Recognize enrollment and retention opportunities and involve management when appropriate Follow up on inquiries and assist families with completing registrations Answer phone calls, emails, and routine customer inquiries Assist with class rosters, student records, data entry, and scheduling Prepare and organize worksheets, awards, supplies, and other class materials Help maintain an organized and welcoming lobby/front desk environment Assist with basic marketing, communications, or graphic-design projects depending on experience Support management with miscellaneous administrative and academy operations as needed What We're Looking For Excellent interpersonal and customer-service skills Friendly, confident, and comfortable initiating conversations with parents and families Strong communication skills, both in person and in writing Proactive mindset — able to notice what needs attention without always being asked Strong organization and attention to detail Comfortable learning new software and administrative systems Ability to multitask in an active environment with children and families Dependable and punctual Ability to work independently while knowing when to involve management Previous customer service, reception, administrative, hospitality, retail, or sales experience preferred Experience with children, educational programs, or youth activities is a plus Graphic design, social media, or marketing experience is a plus Chess knowledge is not required Schedule This is a part-time afternoon position primarily supporting our weekday academy programs. Candidates should have reliable afternoon availability, particularly Monday, Tuesday, and Thursday .
