Our ultimate product to our clients is our highly sophisticated, in-depth, and expensive geotechnical reports. Because our clients rely on these reports for major structural and financial decisions, our work must be entirely flawless. We are a small company with a true "family" dynamic. We invest an immense amount of time, energy, and in-depth training into our staff. We are seeking a long-term Administrative Assistant II who wants to grow with us for multiple years (or even decades) and be part of our team for the long-haul.
Key Responsibilities Front Office Reception & Communication:
Answer a busy multi-line phone system, route calls, manage calendar scheduling, and warmly greet clients walking into the office with a professional etiquette.
Office Coordination:
Maintain administrative files, scan documents, and manage daily workflows to keep the staff moving efficiently.
Report Proofreading & Formatting:
Painstakingly review and format geotechnical reports and other documents for grammar, spelling, or template accuracy, ensuring not a single extra line space slips past.
The Work Style We Need Self-Paced Yet Adaptive Multitasking:
You must have the maturity to work independently at your own pace while juggling competing priorities. Especially during our busy summer season, the phones ring constantly. You must be able to gracefully pause a detailed task, handle a caller's needs, and immediately return to your task without losing your place.
Firm Prioritization & Boundary Setting:
We need someone who can self-manage. If a team member drops a task on your desk, you must have the confidence to speak up and professionally say: "I need to finish this report first, so your task will have to wait until this afternoon."
Active Communication:
You must be willing and able to speak up with confidence, ask questions when you are unsure, and ask for help when you need it—including walking straight up to the owner of the company to clarify an instruction. The Realities of the Workplace Environment Embrace the
Dust:
We work with soil/ dirt, concrete, and rocks. Buckets and boxes of dirt samples move through our office almost daily. While we clean our own desks and areas, this office gets dusty and dirty. If you need a pristine, sterile corporate environment, or if you are worried about getting a little dust on your clothes or shoes, this is not the office for you. Our priority is our clients and reports, not dust-busting.
Long-Term Training Curve:
Because our industry is highly specialized, our training takes several months. We will pace your training at your own speed, slowly increasing your tasks as you master the instructions, absorb the info, and do the tasks correctly. We want someone who views this slow, steady investment as an exciting career path. The "Thick Skin"
Requirement:
Our office sits alongside our laboratory. Our small team is primarily male, and you will hear the guys out in the lab "talking shop" and using colorful language/cursing. Some of our veteran team members can sound grumpy at times. They are good guys, and management protects our administrative staff, but you must have a thick skin, a strong backbone, and the ability to not take their gruffness personally.
Qualifications Experience:
1-2+ years of professional office administrative experience. Experience in engineering or construction environments is a massive plus.
Computer Skills:
Must have highly proficient computer skills. Advanced familiarity with Microsoft Word and Excel (specifically page breaks, tables, and strict document formatting) and Adobe Acrobat Pro.
Strong communication skills:
both verbal and written, including bilingual capabilities preferred but not required.
Traits:
Deeply dependable (here every single day and on time), detail-oriented, self-directed, possess a calm demeanor under pressure, and can handle constructive criticism.
Pay:
$23.00 - $25.00 per hour Expected hours: 40.0 per week
