Role:
The Office Assistant plays a crucial role in ensuring the smooth and efficient operation of daily office activities within the organization. This position is responsible for providing comprehensive administrative support, facilitating communication across departments, and maintaining organized records and office supplies. The ideal candidate will contribute to creating a productive work environment by managing scheduling, handling correspondence, and assisting with various clerical tasks. By supporting both management and staff, the Office Assistant helps to streamline workflows and improve overall office efficiency. Ultimately, this role is vital in enabling the organization to meet its operational goals and maintain a professional workplace atmosphere.
Benefits:

Minimum Qualifications:
High school diploma or equivalent. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Strong organizational and time management skills. Excellent verbal and written communication abilities. Ability to handle multiple tasks and prioritize effectively.
Preferred Qualifications:
Previous experience in an administrative or office support role. Familiarity with office management software and tools. Basic knowledge of bookkeeping or accounting principles. Customer service experience. Ability to work independently with minimal supervision.
Responsibilities:
Manage incoming calls and emails, directing them to the appropriate personnel or departments. Assist Office Manager with placing purchase orders and scheduling inventory deliveries. Perform general clerical duties including photocopying, scanning, faxing, and mailing documents. Greet and assist visitors, ensuring a welcoming and professional reception experience. Assist in scheduling meetings, appointments, and travel arrangements for staff and management. Support the preparation of reports, presentations, and correspondence as required by various departments. Coordinate office supplies inventory, placing orders as needed to prevent shortages and manage costs. Collaborate with team members to support special projects and office events.
Skills:
The required skills such as proficiency in Microsoft Office Suite enable the Office Assistant to efficiently create documents, manage spreadsheets, and handle email communications daily. Strong organizational skills are essential for maintaining orderly filing systems and managing office supplies, which helps prevent disruptions in workflow. Effective communication skills are used to interact professionally with colleagues, management, and visitors, ensuring clear and courteous exchanges. Time management and multitasking abilities allow the Office Assistant to prioritize tasks and meet deadlines. 7:00am - 3:30pm PST, Monday through Friday
