DEFINITION
Under general supervision, to perform difficult and responsible accounting and fiscal record management functions, that involves manual and computer-assisted record management systems; to prepare a variety of fiscally related reports and records; and to do other related work as required.
ESSENTIAL DUTIES 1.
Serve as a secretary taking and transcribing dictation and notes regarding varied correspondence, memoranda, reports, or other related materials. 2. May independently compose and type routine memoranda, reports, and related material. 3. Compose and type routine memoranda and correspondence from brief verbal or written instructions that may deal with privileged or sensitive information and data. 4. May take summary notes of meetings and conferences, and transcribe them into meeting report form. 5. May take and transcribe dictation of a privileged or sensitive nature. 6. Establish and maintain numerical, alphabetical, and subject matter files. 7. Act as a receptionist arranging appointments and meetings. 8. Answer the telephone and initiate outgoing calls. 9. Perform appropriately in situations requiring tact and diplomacy in dealing with the public, parents, students and staff. 10. Assist office visitors by making telephone inquiries, by answering questions pertaining to routine policies, regulations, and operational procedures, or by referring those making inquiries to appropriate offices. 11. Requisitions, orders and maintains an adequate inventory of supplies and instructional materials. 12. Maintains a variety of records and files, which may include student, personnel, budget, expenditure, payroll, and a variety of other related records. 13. Compile information and prepare reports as required. 14. Review records, reports, and data for accuracy, completeness, and compliance with predetermined and standardized procedures. 15. May prepare input data for a computerized record management, storage, and retrieval system, and utilize the output reports in the operational functions of the office to which assigned. 16. Assist supervisor by following up on administrative or clerical detail, which may include contact with members of the educational community. 17. Operate a variety of standard office equipment, including dictation transcription equipment, microcomputers and computer terminals. 18. Perform other related job duties as required.
QUALIFICATIONS
Knowledge of:
Modern office practices, procedures, and techniques; English usage, spelling, grammar, and punctuation; Standard office machines and equipment, including microcomputers and computer terminals.
Ability to:
Learn and apply policies, regulations, and operational procedures; Perform secretarial and clerical functions of average to above average difficulty with speed and accuracy; Make arithmetical calculations with speed and accuracy; Type or keyboard at a net corrected speed of 50 words per minute; Take summary notes and transcribe dictation accurately using transcription equipment; Establish and maintain an automated data management, storage, and retrieval system; Understand and carry out oral and written directions; Establish and maintain cooperative working relationships.
PHYSICAL DEMANDS
The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions. 1. Persons performing service in this position classification will exert 10 to 20 pounds of force frequently to lift, carry, push, pull, or otherwise move objects. 2. This type of work involves sitting a portion of the time, but will involve walking or standing for brief periods. 3. Perceiving the nature of sound, near and far vision, depth perception, providing oral information, the manual dexterity to operate business related equipment, and handle and work with various materials and objects are important aspects of this job. Experience and Education Any combination of experience and training that would likely provide the required knowledge and skills is qualifying. A typical way to obtain the required knowledge and skills would be:
Experience:
One year of experience performing stenographic or general clerical functions.
Education:
Equivalent to the completion of the twelfth grade, including or supplemented by coursework in shorthand, typing, data entry, and business office procedures.
