Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office programs Assist with calendar management, scheduling meetings, appointments, and coordinating events for team members Support office management activities including supply inventory, equipment maintenance, and general administrative support Provide excellent customer service by responding promptly to client inquiries and supporting client communication efforts Handle clerical responsibilities such as word processing, preparing reports, and maintaining organized records Requirements Proven experience in office management or administrative roles with strong clerical skills Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes Excellent computer literacy with the ability to adapt to new productivity software quickly Strong organizational skills with the ability to prioritize tasks effectively in a busy environment Bilingual abilities are highly desirable to support diverse client needs Prior experience with QuickBooks or similar accounting software is a plus Exceptional phone communication skills combined with professional phone etiquette Demonstrated ability to handle multiple tasks efficiently while maintaining attention to detail Personal assistant experience or calendar management expertise is advantageous High school diploma or equivalent; additional office experience preferred Join us to be part of a dedicated team committed to excellence!
