Office Assistant (Part-Time) Kamps Pallets - 3.2 Bloomfield, CT Job Details Part-time From $18 an hour 8 hours ago Benefits 401(k) Qualifications Spanish English Attention to detail Organizational skills Full Job Description The Office Assistant plays a crucial role in facilitating communication, customer support, managing documentation, and supporting administrative tasks essential for the smooth operation of our office. This position requires exceptional organizational skills, attention to detail, and the ability to multitask effectively. Schedule will be Monday through Friday 8am to 12pm.
Essential Duties and Responsibilities:
  • Manage email and phone correspondence efficiently
  • Handle scheduling of orders (new and existing), addressing customer concerns, complaints, and changes to orders
  • Enter and process invoices, purchase orders, and expense reports accurately and in a timely manner.
Maintain organized and up-to-date files, including digital and paper records. Assist in preparing reports, schedules, and documentation for internal use or external audits. Communicate effectively with vendors and internal departments to resolve billing or payment issues. Provide timely responses to inquiries and requests, ensuring excellent customer service
  • Liaise with sales and purchasing teams to process quote update requests, ensuring accuracy and timely communication
  • Coordinate with the logistics team to manage shipping and receiving orders. Create and update orders as necessary
  • Create shipping and receiving orders, ensuring accuracy and completeness of documentation
  • Enter counts and generate reports as per customer requests, prioritizing tasks based on urgency and importance
  • Assist with scheduling shipping and receiving requests, providing updates on the status of swaps/deliveries upon request
  • Perform miscellaneous office duties as assigned, including but not limited to filing, data entry, and maintaining office supplies This list of duties is not intended to be all-inclusive and may be expanded to include other duties or responsibilities that senior management may deem necessary.
Qualifications/Skills:
  • Strong communication skills, both verbal and written, with the ability to handle customer inquiries and complaints effectively
  • Proficiency in email and phone etiquette, ensuring professional and courteous communication at all times
  • Excellent organizational skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously
  • Attention to detail and accuracy in handling documentation and data entry
  • Previous experience in a similar role, preferably in the pallet and transportation industry preferred

Spanish/English preferred
