About the
Role Employment Type:
Full-Time (30-32 hrs/wk) We are seeking a detail-oriented and organized Administrative Assistant to support our freight and logistics operations. This role is responsible for coordinating inbound and outbound domestic and international shipments, preparing estimates, issuing orders, and providing general administrative support to keep the office running smoothly. Key Responsibilities Freight Coordination Coordinate inbound and outbound freight shipments for both domestic and international orders Communicate with carriers, freight forwarders, and vendors to schedule pickups and deliveries Track shipments and proactively follow up on delays or issues Prepare and process shipping documentation (bills of lading, customs paperwork, packing lists, etc.) Ensure compliance with shipping regulations, including international customs requirements Order & Estimate Processing Enter and maintain accurate shipping estimates in company systems Issue purchase orders and sales orders as needed Verify order accuracy, pricing, and shipment details before processing Maintain organized records of estimates, orders, and shipment status Administrative & Office Support Answer and direct incoming phone calls in a professional manner Greet visitors and manage front-office duties as needed Maintain filing systems (physical and digital) for shipping and office records Order office supplies and manage general office upkeep Assist other departments with administrative tasks as needed Perform other duties as assigned Qualifications High school diploma or equivalent required; Associate's degree preferred 1-3 years of administrative, logistics, or freight coordination experience preferred Strong organizational skills with attention to detail Excellent verbal and written communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer systems Ability to multitask and prioritize in a fast-paced environment Experience with freight/shipping software or ERP systems a plus Professional phone etiquette and customer service orientation Work Environment Full-time, in-office position Standard business hours (e.g., Monday-Friday) Fast-paced office environment with frequent phone and email communication
Pay:
$40,000.00 - $50,000.00 per year
