Position:
The Business Office Administrative Assistant provides clerical and administrative support to the Business Office and assists staff with routine accounts payable, payroll, accounting, and general office functions. The position performs a variety of support activities, including payroll timecard follow-up, invoice coding and sorting, data entry, filing, record maintenance, and other administrative tasks. This is an entry-level support position requiring strong organizational skills, attention to detail, accuracy, and the ability to work cooperatively with Business Office staff and other departments throughout the organization. Provides general administrative and clerical support to the Business Office. Assists with accounts payable functions, including invoice coding, sorting, processing, and maintenance of supporting documentation. Assists with payroll functions, including monitoring timecard completion and following up on missing information, corrections, and approvals. Performs data entry and assists with maintaining accurate and organized financial, payroll, and administrative records. Assists with gathering, organizing, and maintaining documentation needed for Business Office activities, audits, grants, contracts, and other reporting requirements. Communicates with employees, departments, and vendors to obtain information and documentation needed by Business Office staff. Provides support and coverage for routine accounting, administrative, and other Business Office functions as needed. Maintains confidentiality of sensitive information and performs other duties and special projects as assigned.

Work Schedule & Rate of Pay:
Monday-Friday 8:30am-4:30pm 35 hours per week 1-hour lunch break $21.00

00 per hour The offered rate of pay will be based upon a variety of job-related factors, including skills, education, training, credentials, experience, applicable certifications, scope, and performance, as well as market rates, internal equity, and candidate's unique qualifications.
Qualifications & Requirements:
High School Diploma or equivalent
- Required An Associate degree, coursework in business or accounting, or related training is preferred 1-2 years of prior administrative, office, bookkeeping, accounts payable, payroll, or related experience
- Required Proficiency with the Microsoft Office Suite (Word, Excel, Outlook, etc.) and experience using technology/software
- Required Strong communication skills, with the ability to connect effectively via email, phone, and in person
- Required Ability to handle sensitive employee and company information with professionalism and confidentiality
- Required Strong organizational skills, attention to detail, and ability to perform multiple tasks efficiently Dependable, reliable, and proactive with a strong sense of responsibility Flexibility and adaptability in a dynamic work environment Bilingual (English/Spanish)
