Description We are looking for an experienced and dependable Office Services Coordinator to support daily workplace operations. This Long-term Contract position is ideal for someone who enjoys creating a welcoming office experience, keeping administrative tasks organized, and assisting with meeting and guest coordination. The role is fully onsite and will contribute to a detail-focused, client-ready environment through consistent service and strong attention to detail.
Responsibilities:
- Welcome visitors and support front-desk hospitality needs to help maintain an organized and detail-focused office setting.
- Coordinate onsite meetings by arranging conference space, confirming room setup, securing necessary equipment, and organizing food service when needed.
- Manage incoming phone calls and greet guests, ensuring inquiries are directed promptly to the appropriate team members.
- Handle daily mail and package activity, including sorting, distributing, and following up on routine delivery issues.
- Monitor office supply levels, place replenishment orders, and keep shared materials stocked for day-to-day business needs.
- Submit and track service requests related to office facilities and equipment to help resolve maintenance concerns efficiently.
- Prepare routine written materials such as reports, correspondence, and internal memos with accuracy and care.
- Respond to common questions or concerns from clients and colleagues by following established procedures and escalating issues when appropriate.
- Complete assigned administrative tasks by adhering to defined processes and maintaining dependable support for the team. Requirements
- At least 1 year of experience in an administrative, office support, reception, or hospitality-focused role.
- High school diploma or equivalent required.
- Strong verbal and written communication skills with a detail-oriented and approachable manner.
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to manage multiple responsibilities at once while staying organized in a fast-paced environment.
- Careful attention to detail and the ability to follow established procedures accurately.
- Customer-service mindset with a reliable, proactive, and team-oriented approach.
