Job Description
Job Summary We are seeking a reliable and organized Office Assistant to support daily administrative operations within our office environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical roles. This position offers an opportunity to contribute to a professional team, ensuring smooth workflow and exceptional customer service. The Office Assistant will handle a variety of tasks including data entry, filing, calendar management, and customer support, with an emphasis on efficiency and attention to detail. Responsibilities Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software Schedule appointments, manage calendars, and coordinate meetings for staff or clients Handle filing systems, document proofreading, and ensure proper organization of office files Support bookkeeping and basic QuickBooks tasks as needed Provide excellent customer service by addressing inquiries via phone or email promptly and courteously Assist with administrative tasks such as copying, scanning, and mailing documents Maintain office supplies inventory and place orders when necessary Support office management activities to ensure efficient daily operations Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or bookkeeping is a plus Strong organizational skills with the ability to multitask effectively Excellent phone etiquette and customer service skills Bilingual abilities are highly desirable for effective communication with diverse clients or staff Office management or clerical experience preferred Data entry accuracy and typing speed of at least 60 WPM Ability to handle multi-line phone systems efficiently Strong proofreading skills and attention to detail Knowledge of calendar management and appointment scheduling Ability to work independently with good time management skills Personal assistant or medical/dental receptionist experience is advantageous This role is integral to maintaining a professional office environment that supports both staff productivity and client satisfaction.
