- 37,440 Hourly Position SUMMARY Performs routine and varied clerical duties, including preparing and typing correspondence, maintaining data, logs, and reports, and providing general administrative support.
Answers telephone calls and provides general information to the public. Receives, processes, and tracks complaints and work orders. Performs permit intake.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Reads and routes incoming mail. Locates and attaches appropriate files or records to correspondence requiring review or response by the appropriate staff member.
- Composes and/or types routine correspondence, including letters, memoranda, notices, and other departmental communications.
- Organize and maintain file system, and file correspondence and other records such as code violations, building violations, and maintaining appropriate logs.
- Greets scheduled visitors and directs or escorts them to the appropriate office, area, or staff member.
- Makes copies of correspondence, reports, applications, plans, and other printed materials as requested.
- Prepare outgoing mail and correspondence, including e-mail, faxes and certified mail.
- Answer phone and direct to proper person or take messages.
- Makes reservations and schedules or coordinates appointments, meetings, inspections, and other departmental activities as directed.
- Performs permit intake duties, including receiving applications and supporting documents, reviewing submissions for completeness, entering permit information into the appropriate system, and providing applicants with general information regarding the permitting process.

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE
High school diploma or general education degree (GED). Three months related experience and/or technical training; or equivalent combination of education and experience. General secretarial and bookkeeping skills required.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information one-on-one and small group situations to citizens, staff, and other city employees. Bilingual, English/Spanish, preferred.
MATHEMATICAL SKILLS
Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but routine written or oral instructions. Ability identify and resolve problems involving a few concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES
- Considerable independent judgement and discretion is involved when representing the City in communications with the public and employees.
- Capable of working with minimal supervision.
- Capable of meeting deadlines.
- Capable of performing detailed and accurate work.
- Must have excellent typing, computer (Word & Excel), and data entry skills.
