Full-time Position Summary We are a growing restaurant group seeking a highly organized, detail-oriented Administrative Assistant to support the day-to-day administrative operations across our locations. The ideal candidate is proactive, dependable, and able to follow through on multiple tasks and deadlines with minimal supervision. This is an in-office role focused on administrative support, vendor coordination, and permitting/compliance. Key Responsibilities

  • Follow up with vendors and suppliers; track orders, invoices, and account status.
  • Manage permitting and licensing for restaurant openings and maintenance, including city permits, renewals, and inspections (health department, fire, occupancy, signage, and similar).
  • Coordinate with city and county offices, landlords, and property management on permits, filings, and correspondence.
  • Prepare and organize documentation for banks and credit applications.
  • Perform basic bookkeeping tasks in QuickBooks (data entry, invoices, expense tracking, supporting accounts payable/receivable).
  • Maintain organized digital and physical filing systems for contracts, licenses, permits, and insurance documents.
  • Track key renewal dates (licenses, permits, insurance, leases) and ensure timely submissions.
  • Support management with scheduling, correspondence, reports, and general office administration.
  • Handle sensitive and confidential information with discretion. Requirements
  • Minimum 1 year of verifiable administrative experience (hospitality or restaurant industry preferred).
  • Legally authorized to work in the U.S. with all required documents.
  • Basic knowledge of QuickBooks.
  • Proficiency in Microsoft Office and/or Google Workspace (Word, Excel, email, calendars).
  • Bilingual English/Spanish (strongly preferred).
  • Strong organizational, time-management, and follow-up skills.
  • Excellent written and verbal communication.
  • High attention to detail and ability to meet deadlines.
  • Ability to multitask and support several restaurant locations at once.
  • Reliable transportation for occasional errands to city offices, banks, or locations.
