Job Description

Position Summary We are looking for an organized and driven Service Coordinator to join our growing team. In this role, you will be the operational backbone of our service department — managing scheduling, coordinating field staff, and ensuring customers receive timely, professional service from start to finish. You will work closely with service personnel, customers, and vendors using our internal systems to keep work flowing smoothly day to day. What You'll Do Scheduling & Dispatch Receive and respond to incoming service requests, routing them to the appropriate team members Manage technician schedules and daily dispatch, balancing workload and geography Create and track work orders from intake through completion Monitor open jobs and communicate updates to customers and field staff Prioritize and respond to urgent service calls as needed Operations & System Management Maintain accurate records in our service management platform, including jobs, customers, and equipment. Run reports on open work orders, technician activity, and service performance Keep equipment service histories up to date Review and process technician time entries for accurate job tracking Customer Communication Act as a primary point of contact for customers throughout the service process Provide status updates, estimated arrival times, and follow-through on commitments Manage recurring service agreements and maintenance schedules Address customer questions and concerns professionally, escalating when needed What We're Looking For 2+ years of experience in a service coordination, dispatcher, or administrative operations role Experience in HVAC, mechanical, or a related trades service environment preferred Comfortable working in an ERP or field service management platform (experience with scheduling and work order tools a plus) Strong organizational skills with the ability to manage multiple priorities at once Clear communicator — able to work effectively with technicians, customers, and vendors Reliable, detail-oriented, and able to stay calm in a fast-moving environment Proficient in standard office software (email, spreadsheets, scheduling tools) Work Environment Office-based role with standard business hours Occasional after-hours availability may be required to support urgent service needs Fast-paced environment with a collaborative, team-oriented culture What We Offer Competitive compensation based on experience Health, dental, and vision benefits Paid time off and holidays Opportunities for growth within a stable and expanding organization
