Overview:
The Administrative Assistant supports the General Manager in driving smooth, efficient daily hotel operations while serving as a key liaison across departments and the primary point of contact for owner inquiries. This role manages payroll, onboarding, documentation, and purchase orders while supporting housekeeping, maintenance, and front desk teams to ensure consistent service quality and operational excellence.Responsibilities:
Administrative Assistant responsibilities include, but are not limited to; Process payroll, including weekly ADP reviews and contract labor submissions. Manage deposits, purchase orders, and credit card documentation while supporting accounting functions. Assist with recruiting and onboarding, including interview scheduling, new hire paperwork, and benefits enrollment. Maintain accurate employee records and oversee uniforms and vendor services (e.g., Cintas). Support owner and guest needs, including inquiries, unit inspections, amenities, and coordination of vendors and deliveries. Handle in-room service issues and utility interruptions, coordinating with providers as needed. Maintain organized legal, employee, and owner files, including appliance tracking and warranty documentation. Manage administrative tasks such as key control, lost & found, newsletters, gift certificates, and guest survey distribution. Coordinate employee engagement activities, including celebrations and team events. Stay informed on daily operations, including group activity, VIP, and owner arrivals. Provide cross-departmental support, assist with room inspections and improvement recommendations, support special projects, and serve as Manager on Duty as needed. Other duties as assigned.Qualifications:
What are we looking for? Ability to work Monday through Friday, 8:30 AM - 5:00 PM. Prior administrative experience required. Prior experience in hospitality or rental management preferred. Bilingual with English and Spanish preferred. Highly organized with strong attention to detail. Proficiency in basic accounting and financial analysis, including the ability to calculate figures, interpret invoices, prepare month-end reports, and related financial documents. Strong leadership and interpersonal skills with the ability to effectively manage, guide, and support team members. Excellent verbal and written communication skills. Proficiency in MS Office (Excel, Outlook, Word). Ability to manage multiple tasks in a fast-paced environment. Some knowledge of HR administration and payroll processes preferred.
