Client Overview We are a growing industry leader focused on executing major infrastructure and capital improvement projects. Our dynamic team of engineers, project managers, and operations professionals work together to deliver large-scale initiatives that support long-term regional development and community needs. Our client is seeking an Administrative Specialist Support to join their team. Salary/Hourly Rate $22/hr - $24/hr Position Overview The Administrative Specialist Support will support the team through a variety of administrative, coordination, and operational activities. While the role aligns closely with a Senior Administrative Specialist in terms of responsibilities and experience, the organization is open to candidates with varying levels of experience who demonstrate strong capabilities and a great fit for the team. Responsibilities Of The Administrative Specialist Support Coordinate and schedule meetings, including quarterly department meetings, monthly team meetings, safety meetings, and external visitor events. Arrange meeting rooms, catering, materials, and logistics as needed, and record and publish meeting minutes. Serve as the primary coordinator for contractor network IDs, access requests, onboarding, and offboarding activities. Maintain department records, including safety attendance sheets, agendas, training records, and other administrative documentation. Monitor and replenish office and breakroom supplies, and submit and track IT/OT and Facilities Service requests. Support department leadership with reports, meeting coordination, and PowerPoint presentations. Assist with onboarding new employees, including workspace setup, equipment coordination, and supply requests. Process invoices, purchase requisitions, and other administrative transactions. Coordinate department events, employee recognition activities, and training registrations. Maintain department contact lists, organizational charts, seating charts, and shared resources. Provide document control and DocuSign support, and perform timekeeper responsibilities including payroll troubleshooting. Manage vendor relationships for office services and supplies (coffee, water, cable, etc.). Coordinate vehicle-related activities, including maintenance scheduling, inspections, truck supplies, and SunPass administration. Required Experience/Skills For The Administrative Specialist Support Strong organizational, communication, and coordination skills. Ability to manage multiple priorities and work effectively with a diverse, project-focused team. Proficiency in Microsoft Word, including advanced formatting and document management capabilities. Preferred Experience/Skills For The Administrative Specialist Support Proficiency in Microsoft PowerPoint with strong presentation design skills. Experience with Power BI is a plus.
