Position Overview:
The Administrative Assistant provides essential administrative and organizational support to HRC's leadership, peer staff, programs, and daily operations. This position helps maintain an organized, welcoming, and recovery-oriented environment while ensuring that records, schedules, communications, documentation, and office processes are handled accurately and professionally. Provide general administrative support to HRC leadership and staff, including assistance with special projects and other administrative tasks as needed. Accurately enter and maintain information in HRC-approved databases, spreadsheets, tracking systems, and other documentation platforms, including attendance records, sign-in sheets, outreach records, referral information, and other required program documentation. Support monthly reporting and billing processes by organizing documentation submitted by staff, reviewing records for missing or incomplete information, and communicating documentation needs to the appropriate staff. Maintain current information on community resources, referrals, and partner organizations, and assist with coordination and communication with HRC's community partners and service providers. Assist with distributing program announcements, event information, outreach materials, and organizational communications. Maintain calendars and tracking systems for important deadlines, events, reporting requirements, and organizational activities. Assist with preparation for recovery-focused activities, outreach, education, and events by preparing and organizing supplies, informational and resource materials, and sign-in documentation. Provide courteous, respectful, and recovery-oriented assistance to individuals seeking information, support, resources, or connection to HRC services, directing individuals to the appropriate staff member or program when needed. Maintain inventory of outreach and Recovery Community Center (RCC) supplies, assist with ordering, and help ensure the RCC remains organized, clean, stocked, and ready for daily activities. Adhere to organizational policies and procedures. Perform other duties reasonably related to the position, HRC operations, and the organization's mission.
Qualifications:
Previous administrative experience in nonprofit sector, behavioral health, social services, or community-based organizations. Ability to pass a Level 2 background check Experience with data entry, program documentation, reporting, scheduling, or nonprofit administration. Understanding of recovery principles, advocacy, and the peer support model Minimum of 2 years in recovery and willing to share their lived experience overcoming barriers and demonstrating resilience. Strong organizational and time-management skills. Ability to manage multiple responsibilities and prioritize tasks. Strong written and verbal communication skills. Proficiency with computers, email, Microsoft 365, spreadsheets, and electronic recordkeeping. Ability to learn HRC's documentation and reporting systems. Strong attention to detail and commitment to accurate documentation. Ability to maintain confidentiality and appropriate professional boundaries. Reliable, dependable, and able to work both independently and collaboratively. High School Diploma or GED required Strong interpersonal and communication skills with the ability to engage individuals from diverse backgrounds Understanding of recovery principles, advocacy, and the peer support model Valid driver's license and reliable transportation Ability to work occasional evening and weekend hours
Preferred Qualifications:
Bilingual candidates are encouraged to apply Experience working within a Recovery Community Organization (RCO), nonprofit organization, peer-support program, behavioral health organization, or community-based program. Familiarity with recovery-oriented systems of care and peer support services. Knowledge of community resources and services available in Hillsborough County. Experience supporting community outreach programs, events, trainings, or support groups.

Physical & Work Requirements:
The position may require prolonged periods of sitting and computer use, occasional standing and walking, lifting or moving office and event supplies, and participation in meetings, trainings, outreach activities, or community events.
