Job Overview We are seeking a dynamic and highly organized Architectural Office Administrator to join our team. In this vital role, you will oversee the smooth operation of our office, manage administrative functions, coordinate schedules, and support project workflows. Your proactive approach and excellent communication skills will help ensure our office runs efficiently while fostering a positive work environment.
GENERAL POSITION DESCRIPTION
Assist with communication and documentation of Architectural Projects, process consultant invoices, process outgoing FedEx shipments, maintain meeting schedules, continuing education organization and assist in organizing special office events. Various general office duties and maintain various reports as requested. Must be proficient in Word and Excel, be self-motivated, a good communicator and organized. The required responsibilities and authority of MCG's Administrator include, but are not limited to, the following:
SPECIFIC RESPONSIBILITIES
  • Assist in preparing and sending out weekly package to accounting department. Package to include time sheets, expense reports, vendor invoices, consultant invoices, client agreements, consultant agreements, budgets and other miscellaneous items.
  • Pick up mail from mail room each day and distribute to staff.
  • FedEx incoming and outgoing packages. Deliver packages to staff, create labels and take packages to mail room.
  • Prepare consultant agreements.
  • Assist in preparing client agreements.
  • Assist in maintaining project cost files.
  • Log in and log out shop drawings.
  • Prepare transmittals for all items being sent out of the office.
  • Submit to accounting department requests for new project numbers.
  • Maintain project number list daily.
  • Assist in ordering / purchasing of all supplies for the office.
  • Maintain dead storage files.
  • Assist in preparing project specifications if requested.
  • Assist in preparing various letters, reports, photo pages, transcriptions and correspondence as required. Quality Assurance
  • Follow firm's office standards for preparing documents and correspondence.
  • Check own work; correct errors prior to releasing to staff for review. Office Policies

Pay:
$22.00 - $26.00 per hour
