Job Summary A professional legal services office in Maitland, FL is seeking a Front Office Coordinator to support daily front desk operations, client communication, scheduling, and administrative workflow. The Front Office Coordinator plays an important role in creating a positive client and visitor experience while supporting intake and legal team operations behind the scenes. Key Responsibilities
- Answer and direct incoming phone calls in a professional and courteous manner.
- Greet clients, visitors, and vendors while maintaining a welcoming front office environment.
- Schedule appointments and coordinate calendars for the intake team.
- Review, organize, and manage incoming emails, correspondence, records, and office communications.
- Process incoming and outgoing mail and maintain office supply inventory.
- Assist with organizing medical records, radiology records, and expert witness contact information in the firm database. Compensation and Benefits

- Coordinate front office operations, client greetings, phone coverage, scheduling, and administrative communication.
- Support intake and legal teams with calendar coordination, correspondence management, and record organization.
- Assist with mail processing, office supply management, medical records, radiology records, and database updates.
- 3 to 5 years of administrative, receptionist, front desk, or office support experience preferred.
- Strong computer skills with the ability to learn new software and internal systems quickly.
- Excellent communication, customer service, and interpersonal skills.
- Strong organizational skills with close attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced professional office environment.
- Professional demeanor, positive attitude, and reliability. Preferred Qualifications
- Previous experience in a law firm, legal services office, medical records environment, or professional services setting.
- Experience handling confidential records, client communication, scheduling, and document organization.
- Familiarity with contact databases, case management systems, or office productivity software.
