Job Description
Description We are looking for an experienced Bilingual Administrative Assistant to support a busy sales office in Miami, Florida. This is a contract-to-permanent opportunity for someone who is organized, professional, and comfortable being the first point of contact for clients and visitors. Candidates must be bilingual in English and Spanish. The ideal candidate will have strong administrative and front desk experience and be comfortable supporting a fast-paced office environment.
Responsibilities:
+ Greet clients, guests, and team members and provide a professional and welcoming first impression.
+ Answer and route incoming calls using a multi-line phone system.
+ Assist callers and visitors in both English and Spanish as needed.
+ Provide general administrative and clerical support to the sales office.
+ Maintain and update calendars, meetings, appointments, and office schedules.
+ Enter and update information in spreadsheets, internal systems, and office records.
+ Assist the sales team and office leadership with daily administrative needs.
+ Help coordinate office activities and keep workflows organized.
+ Maintain the reception area and common office spaces so they remain clean and presentable.
+ Handle general correspondence, filing, scanning, and document preparation as needed.
Requirements Qualifications:
+ Bilingual in English and Spanish is required.
+ Previous administrative assistant, receptionist, or front desk experience.
+ Strong communication and customer service skills.
+ Comfortable working in a fast-paced office environment.
+ Strong organizational skills and attention to detail.
+ Proficiency with Microsoft Office, including Outlook, Word, and Excel.
