We are partnering with a growing home improvement company to hire a Permitting Coordinator to help manage the daily flow of residential permit files from intake through submission, follow-up, and approval. This is a fast-paced, office-based position where accuracy, organization, communication, and follow-through are critical. The ideal candidate is someone who can manage multiple files at once, identify missing information quickly, and keep projects moving without allowing incomplete files to sit unresolved. What You'll Do Receive, organize, and process incoming residential permit packages. Enter and maintain accurate permit information in the company CRM. Review permit packages for completeness, including applications, plans, fees, Notices of Commencement (NOCs), deeds, notarizations, and other required documentation. Identify missing or incorrect information and communicate clearly with the appropriate team member to obtain corrections. Process files in chronological order and maintain efficient 24-48 hour turnaround times. Coordinate the assignment and routing of permit files between Sales, Production, Engineering, and Permitting. Prepare complete packages for in-person submissions to municipal building departments. Submit complete permit packages to city and county building departments when assigned. Monitor pending permits and follow up on city review dates and responses. Maintain accurate CRM notes and upload documents whenever a permit status changes. Maintain an Excel workflow tracker organized by city/building department and ensure it matches the CRM. Coordinate with engineering on floor plans and other required documentation. Receive and route returned files to the appropriate permitting team member. Return incomplete files promptly with a clear explanation of what is needed. Help manage permitting backlogs and prioritize the oldest files first. Escalate unresolved issues or roadblocks to management in a timely manner. Participate in team meetings to discuss permitting volume, recurring issues, process improvements, and successes. What We're Looking For Previous experience in construction permitting, municipal permitting, title/closing document review, or a high-volume administrative/operations role . Working knowledge of South Florida city and county building department processes. Strong attention to detail and the ability to identify discrepancies in documents. Experience reviewing names, signatures, identification, applications, and supporting documentation for accuracy. Strong computer skills and comfort working in CRM systems and Excel. Excellent written and verbal communication skills. Ability to manage multiple files and competing priorities in a fast-paced environment. Strong organizational skills and excellent follow-through. Ability to work independently while coordinating effectively with multiple departments. Comfortable enforcing document and process requirements while maintaining a professional and respectful approach. Preferred Qualifications Florida Notary Public commission or willingness to obtain one. Experience with CubiCasa or similar floor-plan/as-built applications. Experience preparing in-person municipal building department submissions. Bilingual English/Spanish. Experience working with window, door, roofing, remodeling, or other residential construction companies. Work Environment Full-time, office-based position in South Florida . Primarily based in the office with occasional travel to city or county building department offices.
