Job Description

Job Summary Luxor Property Management is seeking a highly organized, professional, and dependable Property Management Administrative Assistant to support our property management operations and community association portfolio. This position is ideal for someone who is detail-oriented, comfortable handling multiple priorities, communicates professionally with residents and Board members, and can work independently in a fast-paced property management environment. The Administrative Assistant will work closely with the Property Manager and will assist with the daily administrative operations of condominium and homeowners associations. Responsibilities Assist the Property Manager with the daily administration of condominium and homeowners associations. Answer and manage incoming telephone calls, emails, and resident inquiries. Provide professional customer service to homeowners, residents, tenants, vendors, and Board members. Prepare and send correspondence, notices, letters, emails, and community communications. Assist with violation notices, compliance letters, certified mailings, and follow-up correspondence. Maintain organized electronic and physical association records. Assist with official records requests and document organization. Process purchase and rental applications and verify that required documentation has been submitted. Maintain owner, tenant, and property information in association management software. Update association portals and databases as needed. Assist with meeting notices, agendas, Board packages, sign-in sheets, minutes, and other meeting-related documents. Coordinate with vendors and follow up on proposals, work orders, inspections, repairs, and service requests. Assist with invoice processing and accounts payable documentation. Maintain accurate logs for applications, violations, owner correspondence, work orders, and other association matters. Assist with delinquency and account inquiries while maintaining appropriate confidentiality. Scan, file, upload, and organize documents using established electronic filing systems. Assist with preparing reports, spreadsheets, mailing lists, owner rosters, and other management documents. Follow up on outstanding administrative items and maintain task lists to help ensure deadlines are met. Assist with special projects and other administrative duties as assigned by the Property Manager. Skills Proficiency in property management tools such as Enumerate, OneSite or any customer relationship management software. Previous experience in real estate administration or property management company environments is highly preferred. Excellent organizational skills with the ability to manage multiple tasks including filing, data entry, and contract management efficiently. Demonstrated conflict management skills coupled with negotiation abilities to resolve tenant issues effectively. Proficient in Microsoft Office Suite (Word, Excel, Outlook) for report writing and correspondence. Strong customer service orientation with professional phone etiquette and client communication skills. Ability to work collaboratively within a team environment while managing individual responsibilities independently. Pay:
$19.00 - $20.00 per hour Expected hours: 35.0 per week
