Job Description

Job Summary Vikus Water is a specialized utility engineering firm supporting capital improvement projects for The Villages® community. We are seeking a Construction Administrative Assistant. This role supports a team of project managers and engineers delivering water, wastewater, and irrigation infrastructure projects. The position is documentation-heavy and deadline-driven. Expect to track construction documentation, move contracts through execution, manage invoice workflows, and keep projects from stalling due to paperwork or coordination gaps. This is a full-time, in-person position. Part-time (25+ hours) may be considered upon request.
Responsibilities:
Track and manage construction document execution including contracts, task orders, and amendments Secure signatures for time-sensitive documents across internal staff, consultants, and contractors Coordinate and schedule project kickoff meetings, pre-construction meetings, and stakeholder meetings Maintain project records including Division 00-60 specifications, C520, C800, and related contract documents Process and track invoices including AIA pay applications (G702/G703), ensuring proper routing and approvals Maintain logs for Notices to Owner (NTO), Notices to Commence (NOC), Notices to Proceed (NTP), and Releases of Lien Support project managers with document control, submittal tracking, and general project coordination Interface with consulting engineers, contractors, and internal teams to keep projects moving Prepare reports, spreadsheets, and status tracking tools for project oversight Manage document workflows using Bluebeam and standard Microsoft Office tools Track and manage contracts including documentation of meeting scope requirements and deadlines
Qualifications:
3-5+ years of administrative or project support experience in construction, engineering, or utilities Working knowledge of construction documentation and processes (AIA pay apps, lien releases, notices, contracts) Experience with Division 00-60 specifications or similar contract/front-end documents preferred High proficiency in Microsoft Office (Excel, Word, Outlook required) Experience with Bluebeam preferred Strong organizational skills with the ability to track multiple projects simultaneously Ability to work independently and follow through without constant direction Detail-oriented with a low tolerance for errors in contractual documents
