Position Overview Kensington Golf & Country Club is seeking a highly organized and professional Administrative Assistant to join our Administration team. Reporting directly to the General Manager, this position provides administrative and organizational support to the General Manager and assists with activities involving the Board of Directors, Club committees, and leadership team. The ideal candidate is detail-oriented, dependable, and comfortable working in a fast-paced professional environment. Responsibilities include managing calendars and meetings, preparing correspondence and presentations, coordinating Board and committee materials, maintaining records, preparing meeting minutes, tracking follow-up items, and assisting with special projects and Club activities. Task Duties:
Provides day-to-day administrative and organizational support to the General Manager, including scheduling, correspondence, reports, presentations, special projects, and follow-up items. Manages the General Manager's calendar and coordinates meetings, appointments, and other administrative commitments. Provides administrative support to the Board of Directors and Club committees, coordinating meeting schedules, notices, calendar invitations, and meeting logistics. Prepares and distributes Board and committee agendas, meeting packets, reports, and supporting materials. Collects and organizes reports and information from Department Managers, committee liaisons, and other contributors for Board and committee meetings. Attends Board and Finance committee meetings and prepares meeting minutes and related documentation. Maintains and distributes accurate and organized records of Board and committee agendas, minutes, rosters, schedules, resolutions, and other governance documents. Tracks Board and committee action items and assists the General Manager, committee chairs, and management liaisons with appropriate follow-up. Assists with Board retreats, Annual Meetings, Special Board Townhall meetings, committee appointments, and other Board- and committee-related activities. Assist with Board elections through Simply Voting. Maintains and updates the Club's Board portal (BellesBoard), ensuring Board and committee materials, records, and information are current and accurately organized. Maintains the highest level of confidentiality and discretion regarding information related to the General Manager, Board of Directors, Club committees, Members, employees, financial matters, and other sensitive or proprietary Club information. Coordinates meetings and assists with meeting room preparation, presentations, technology, and other meeting requirements. Provides back-up administrative support to the Director of Communications for the Kronicle and Club website as needed. Provides general support to the Administrative Office as needed and approved by the General Manager. Provides occasional support at Club events and functions, including welcoming and greeting Members, as requested from time to time. Qualifications & Requirements High school diploma or equivalent required; associate or bachelor's degree in business administration, hospitality, communications, or a related field preferred. Private club, hospitality, association, nonprofit, or similar service-oriented experience preferred. Strong proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, Canva, AI-assisted tools, and other office technologies. Excellent business writing, proofreading, grammar, spelling, and communication skills. Demonstrated ability to handle confidential and sensitive information with discretion. Strong organizational, time-management, and recordkeeping skills. Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment. Ability to work independently while maintaining effective communication with the General Manager and other members of the management team. Must demonstrate a high level of professionalism, integrity, dependability, and attention to detail. Must be able to maintain a professional demeanor when interacting with Board Members, Members, employees, vendors, and outside parties. Must comply with all Club policies, procedures, standards, and confidentiality requirements.
Pay:
$25.00 - $28.00 per hour Expected hours: 40.0 per week
