We're growing, and we're looking for an organized, dependable Service Coordinator to be the hub connecting our clients, our technicians, and our office. About the Role We're looking for an experienced Service Coordinator who can run the front office independently — someone who's done this work before and doesn't need to be walked through each decision. You'll own the phones, the schedule, and the permit process from start to finish: dispatching technicians in real time, communicating directly and professionally with clients, and pushing permits through city and county offices proactively. This isn't an entry-level seat — we need someone resourceful who thinks on their feet and takes ownership of the job. What You'll Do Client Outreach Field inbound calls and schedule service calls, estimates, and installs Perform outbound follow-up on open quotes, stale estimates, and inactive clients Promote maintenance plans and the referral program using approved messaging Keep every client interaction logged in Jobber with accurate notes and tags Dispatching & Scheduling Build and manage daily/weekly technician schedules Assign jobs based on skill, location, and priority Adjust in real time for emergencies, overruns, and cancellations Keep job statuses accurate and communicate changes to techs and clients Invoicing & Estimating Create estimates from technician notes and approved pricing Generate invoices at job completion and collect payments (card, ACH, check, cash) Log and reconcile cash/check payments accurately Track estimate and invoice status through to close Permitting Determine when a job requires a permit Gather required documentation and submit to city/county portals Track permit status, handle revisions, and schedule inspections Upload approvals and inspection results to Jobber What We're Looking For Permitting experience required — municipal/county permit submission, tracking, and inspection scheduling HVAC industry experience preferred Excellent communication skills with a strong customer service background 2+ years in a dispatch, scheduling, or office coordinator role — home services or a similar trade strongly preferred Self-directed and resourceful — comfortable making decisions and solving problems without close supervision Experience with a field service management platform ( Jobber , Housecall Pro, ServiceTitan, or similar) Strong organizational skills — able to juggle phone, email, and CRM updates without dropping the ball Experience with estimates/invoicing and handling client payments Reliable transportation and the ability to be on-site, on time, every scheduled day Compensation & Schedule $21 - $27/hour, based on experience Full-time, in-office role in North Lauderdale, FL Monday-Friday, standard business hours
