We're looking for an Administrative Assistant to support a Certified Public Accountant (CPA) directly with the day-to-day management of the office.
Responsibilities:
Coordinate the accountant's calendar and appointments, including client meetings during tax season. Answer and follow up on phone calls, emails, and client requests in a professional and timely manner. Organize, scan, and maintain physical and digital client files with strict confidentiality. Prepare, review, and format documents, letters, and reports. Follow up with clients to collect required tax and financial documents. Handle incoming and outgoing correspondence, including sensitive documents. Support billing tasks, accounts receivable/payable, and client payment tracking. Keep the client management system (CRM) and internal databases up to date. Order office supplies and help keep daily office operations running smoothly.Requirements:
Previous experience as an administrative assistant, secretary, or in an office support role, preferably at an accounting, legal, or financial firm. Excellent organizational skills and the ability to manage multiple priorities and meet deadlines, especially during tax season. Meticulous attention to detail and strong discretion with confidential and financial information. Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning new systems or accounting software. Bilingual (English/Spanish), with excellent written and verbal communication skills in both languages. A proactive attitude — able to anticipate needs and solve problems without constant supervision. Punctuality, professionalism, and a presentation suited for client-facing interactions. Nice to have (not required): Basic knowledge of accounting, QuickBooks, or tax software.We offer:
