Part Time Administrative Assistant LaRenaissance Condominium Palm Beach, FL Job Details Part-time $20 an hour 8 hours ago Qualifications Computer operation Microsoft Outlook Computer literacy Administrative experience Attention to detail Organizational skills Full Job Description La Renaissance Condominium Association is seeking a dependable, organized, computer-savvy Assistant to support the Property Manager in the day-to-day administrative needs of our residential community. A major focus of this position is communication and organization. The Administrative Assistant will help ensure residents receive timely information, that records and contact information remain current, documents are properly organized and routine administrative requests are followed through to completion. The ideal candidate is comfortable working with computers, email, electronic files, databases, and Microsoft Office and enjoys interacting with residents in a professional and helpful manner.
Key Responsibilities Resident and Community Communication:
Serve as a friendly and professional point of contact for residents Answer incoming phone calls and respond to routine emails and resident inquiries Help prepare and distribute community notices, announcements, reminders and other resident communications Post and update notices in designated community areas and electronic platforms Help ensure residents are kept informed of maintenance activities, building projects, service interruptions, meetings and other community updates Route questions or concerns to the Property Manager or appropriate staff member and assist with follow-up
Computer and Information Updates:
Maintain and regularly update resident contact information, unit records, email lists, vehicle information, and other Association databases Update community information, forms, notices, calendars, and electronic records as needed Assist with maintaining the Association's website, resident portal, or electronic communication systems Perform routine data entry accurately and in a timely manner Use Microsoft Word, Excel, Outlook/email, and other office or property management systems
Organization and Record Keeping:
Maintain organized electronic and paper filing systems Scan, save, label, and file documents so Association information can be easily located Maintain resident, vendor, contractor, and Association records Keep office records and administrative documents current Assist with organizing contracts, certificates of insurance, forms, applications, correspondence, and other Association documents Help maintain an organized and efficient management office Administrative Support Prepare routine letters, forms, notices, spreadsheets, and other correspondence Assist the Property Manager with scheduling, copying, scanning, filing, mailings, and other general office duties Assist with preparing materials and notices for Board and Association meetings Maintain office supplies and notify management when supplies need to be reordered Assist with scheduling vendors, contractors, deliveries, and appointments when requested Enter and track resident maintenance requests or work orders and assist with follow up Assist with special administrative projects as assigned by the
Property Manager Qualifications:
Prior administrative, office, receptionist, customer service, or similar experience preferred Strong computer skills are important for this position Comfortable using Microsoft Word, Excel, Outlook/email, and web-based applications Strong organizational skills and attention to detail Ability to maintain accurate and up-to-date records Good written and verbal communication skills Professional and courteous when interacting with residents, Board members, vendors and contractors Ability to prioritize tasks and follow through on assignments Dependable and able to work independently with appropriate direction Comfortable learning new computer systems and technology Condominium, HOA, property management, or residential community experience is helpful but not required

The primary purpose of the role is to provide strong administrative support and help the management office stay organized and communicate effectively with the community. The right person will take ownership of routine administrative responsibilities, keep information current, follow up on open items, and help make it easier for residents to receive the information and assistance they need.
