Job Summary We are seeking a reliable, organized, and empathetic Administrative Assistant / Secretary to join our team. In this role, you will be the first point of contact for our patients, visitors, and healthcare personnel. You will handle essential front-desk duties, coordinate patient scheduling, manage clinic communications, and maintain organized administrative records while maintaining full compliance with HIPAA and healthcare confidentiality standards.
Key Responsibilities Patient Care & Front Desk Operations:
Welcome patients, visitors, and healthcare personnel with empathy and professionalism. Facilitate patient check-in/check-out. Answer incoming telephone calls promptly and professionally, attempt to address inquiry, and/or direct inquiries to appropriate staff, and manage clinic messages promptly. Coordinate patient referrals and new admissions, and travel arrangements.
Labs:
Maintain Patient records in lab system, including admissions and discharges. Coordinate Monthly/Quarterly/Yearly lab draw schedule. Prepare labels for tubes when lab draws occur. Schedule and organize lab pickups. Place as needed lab orders as instructed by clinical staff. Maintain sufficient lab supplies.
Scheduling & Coordination:
Coordinate and maintain patient dialysis treatment schedules and transportation arrangements (e.g., medical transport, family drop-offs, standing orders, etc). Schedule specialist appointments, follow-ups, and lab visits as directed by clinical staff.
Records & Administrative Support:
Prepare, file, and archive electronic and paper medical records/charts in accordance with HIPAA guidelines. Handle incoming/outgoing mail, faxes, medical records requests, and lab reports. Assist the Clinic Administrator with office inventory, ordering supplies, and general administrative task execution.
High School Diploma or equivalent required (Associate degree or medical administrative certification preferred). 1+ years of experience in an administrative, receptionist, or secretary role (experience in a healthcare setting or outpatient clinic preferred).
Skills & Competencies:
Strong knowledge of patient privacy standards (HIPAA compliance). Proficiency with electronic health record (EHR/EMR) systems and office software (e.g., MS Office / Google Workspace). Excellent communication, interpersonal, and customer service skills. Strong organizational skills and the ability to multitask in a fast-paced environment.
