Pay:
$18.20 per hour Job Summary The Healthy Start Coalition of Okaloosa and Walton Counties is seeking a highly organized and detail-oriented Office Assistant to support daily administrative operations, financial tracking, program coordination, and staff support. This position plays a critical role in ensuring office efficiency while advancing maternal and child health programs throughout Okaloosa and Walton Counties. Responsibilities Administrative Operations Maintain office organization, workflow efficiency, and cleanliness Manage incoming and outgoing mail Serve as liaison for vendors, maintenance requests, inventory deliveries, and IT support Track and maintain inventory of office supplies, safety items, and equipment Manage incoming communications and prioritize executive requests Program & Event Support Coordinate safety item pickups and maintain partner communication Manage diaper and wipe inventory and distribution Support Coalition programs (including T.E.A.M. Dad) with event logistics and materials Assist with grant writing support and data collection Track Connect Forms and ensure timely follow-up Review assistance requests and provide summaries for leadership Finance & Reporting Track monthly Medicaid earnings for Okaloosa and Walton Counties Monitor credit card usage and assist with reconciliation Track program costs and inventory Maintain accurate check logs and financial documentation Human Resources & Staff Support Track PTO and staff leave balances Assist with insurance documentation and updates Verify timesheets and manage time allocation reports Coordinate staff travel and reimbursement submissions Meetings & Documentation Prepare and edit correspondence, reports, and presentations Assist in updating organizational documents (Employee Handbook, Policies & Procedures, Emergency Management Plan) Organize leadership meetings, record minutes, and track action items Maintain confidential files and secure documentation systems Qualifications Associate or bachelor's degree preferred Minimum of two (2) years of administrative experience (nonprofit or healthcare setting preferred) Strong written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) Excellent organizational skills with the ability to multitask and meet deadlines Ability to work independently and collaboratively Customer service: 1 year (Preferred) Valid driver's license and reliable transportation Successful completion of a background check Benefits

Retirement Program:
