Olive Avenue, WPB 36384 Palm Beach County is seeking a detail-oriented professional with experience in the agenda item process at the county/municipal level to serve as Agenda Coordinator. This highly responsible position reports directly to County Administration and coordinates and prepares the Board of County Commissioners meeting agendas, ensuring accuracy, thoroughness and efficiency. Additionally, this role gathers information and prepares reports to assist in the evaluation and improvement of the effectiveness of the agenda process.
KEY RESPONSIBLITIES
Coordinates, prepares, and distributes the meeting and/or workshop agendas/agenda kits to the Board and staff. Assists Administration in the coordination, review and processing of County department agenda items. Monitors agenda tracking system for deleted/postponed/late items; makes adjustments as necessary. Conducts research and prepares special reports on behalf of Administration for presentation to the Board. Independently prepares correspondence, forms, memoranda and reports and spreadsheets for Administration, the Board and County departments. Monitors and updates policies related to agenda item processing and Board appointments. Prepares agenda submittal reports. Prepares and processes Board appointment items under the responsibility of Administration. Prepares various statistical reports relating to the agenda process. Reviews and provides input on County department advisory board appointment items/attachments for Board action.
QUALIFICATIONS
Graduation from high school or an equivalent recognized certification including or supplemented by related college-level course work in Business or Public Administration; minimum of five (5) years of experience in secretarial work which includes administrative responsibilities OR Bachelor's/Associate's Degree and three (3) years of experience in secretarial work which includes administrative responsibilities.
PREFERRED QUALIFICATIONS
Preferred qualifications include experience: Preparing agenda items, Working in an administrative role for a county/municipal employer, and Developing reports for analysis purposes.
