About Us Interlinked Counseling and Consulting is a client-centered mental health practice committed to providing compassionate, evidence-based care to individuals, couples, families, and teens. We offer outpatient therapy, pastoral counseling, medication management, and community-based outreach. Our mission is to provide hope, healing, and connection while building strong relationships throughout the communities we serve. We are seeking a reliable, detail-oriented, and friendly Part-Time Administrative Assistant to support our growing practice. We are looking for a dependable and cheerful Administrative Assistant to perform a variety of administrative, customer service, and outreach responsibilities. This role is essential to creating an exceptional client experience—from the first phone call through ongoing care. Responsibilities include supporting providers, managing front office operations, coordinating appointments, assisting with billing and collections, and cultivating relationships with community referral sources. The ideal candidate is organized, proactive, personable, and enjoys building meaningful connections with clients and community partners. Ultimately, a successful Administrative Assistant will help ensure the efficient day-to-day operation of our office while supporting the continued growth of the practice. Responsibilities Answer incoming calls, respond to voicemails, and route messages to the appropriate clinical staff. Greet clients, assist with intake paperwork, and provide exceptional customer service in person, by phone, and electronically. Schedule, reschedule, and confirm appointments while managing provider calendars. Verify insurance benefits and assist clients with questions regarding appointments, payments, and practice policies. Collect copays, deductibles, and self-pay balances at the time of service. Monitor outstanding patient balances and conduct courteous follow-up regarding unpaid accounts, payment arrangements, and billing questions. Maintain accurate billing and payment records while coordinating with the billing department as needed. Maintain ongoing client communication through phone, email, text, or secure messaging. Support marketing and community outreach initiatives, including social media content, newsletters, email campaigns, and community events. Develop and maintain positive relationships with physicians, nurse practitioners, schools, churches, hospitals, employee assistance programs (EAPs), community organizations, and other referral partners. Conduct outreach calls, visits, and follow-up communications to strengthen referral relationships and increase awareness of practice services. Assist with organizing workshops, trainings, community events, and church partnerships. Prepare providers for appointments by ensuring schedules, paperwork, and documentation are complete. Maintain office supplies, organize administrative records, and support daily office operations. Ensure all client documentation, communications, and administrative processes comply with HIPAA and organizational policies. Perform other administrative duties as assigned to support practice operations and growth. Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree preferred. Previous experience in an administrative, medical office, or customer service role (mental health or healthcare experience preferred). Excellent verbal and written communication skills. Strong organizational skills with the ability to prioritize and multitask in a fast-paced environment. Proficient with scheduling software, Microsoft Office, Google Workspace, spreadsheets, and general office technology. Ability to maintain confidentiality and professionalism while handling sensitive information. Comfortable discussing financial responsibilities with clients in a respectful and compassionate manner. Friendly, professional, and relationship-oriented personality with strong customer service skills. A heart for service and passion for mental health, wellness, and community engagement is highly valued. Preferred Skills Experience with practice management software (SimplePractice, TherapyNotes, Jane, PsykDesk, or similar EMRs). Knowledge of insurance verification, copay collection, patient billing, and accounts receivable follow-up. Familiarity with HIPAA regulations and mental health terminology. Experience developing relationships with referral sources such as physicians, schools, hospitals, churches, and community organizations. Marketing, communications, business development, or community outreach experience. Experience creating social media content, email newsletters, or promotional materials. Ability to represent the practice professionally at networking events, health fairs, and community meetings.
