Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and providing excellent customer support with professionalism and courtesy Handle data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office and Google Workspace Maintain organized filing systems—both digital and physical—ensuring quick retrieval of documents and records Assist with calendar management, scheduling appointments, and coordinating meetings for staff and clients Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices Provide clerical assistance such as proofreading documents, preparing Word processing files, and performing general office management duties Facilitate communication between clients, vendors, and team members through phone calls, emails, and written correspondence while maintaining proper phone etiquette Support administrative projects including document proofreading, filing, and organizing office supplies to maximize productivity Skills Proven experience with office management, administrative support or similar roles; dental or medical receptionist experience is a plus Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), data entry, and productivity software Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Skilled in handling multi-line phone systems and demonstrating professional phone etiquette Bilingual abilities are highly desirable to assist diverse client needs effectively Familiarity with QuickBooks for bookkeeping tasks; experience with medical or dental reception is advantageous Exceptional customer service skills with the ability to communicate clearly via phone or in person Attention to detail for proofreading documents and maintaining accurate records Technical proficiency in office equipment such as printers, scanners, and fax machines; computer literacy is essential Personal assistant experience or experience managing calendars enhances your suitability for this role Join us in creating an energetic workplace where organization meets excellence!
