We're looking for a highly organized, customer‑focused Service Coordinator to serve as the operational backbone of our Service Center. What You'll DoCustomer & Service Coordination Work closely with customers and Field Service Mechanics to identify required and recommended maintenance. Advise customers on service needs and clearly explain repair estimates. Estimate costs for mechanical, electrical, and related repairs, including labor and replacement parts. Enter detailed, itemized estimates into service orders and review them with customers. Process parts and service sales orders for accurate invoicing. Service Operations & Documentation Maintain complete and current service files for each lift truck, ensuring all paperwork is scanned and properly stored. Process warranty claims from submission through completion. Answer incoming calls and prepare correspondence, reports, and customer quotes. Maintain Service Center databases, address books, and filing systems. Track service personnel time and submit reports per company policy. Administrative, Safety & Fleet Support Perform assigned duties as Service Center Safety Coordinator. Maintain records for all company‑owned vehicles, including insurance, maintenance, expenses, recalls, tags, and locations. Issue purchase orders for vehicle repairs and maintenance. Audit expenses and purchases for all service personnel; flag discrepancies to the Service Center Manager. Generate reports on service mechanic sales, call‑in sales, and expenses. Employee Support & Resource Management Assist with employee orientation, providing company policy information and supplies. Order, distribute, and track company credit cards, fuel cards, travel cards, and cash advances. Schedule and verify vacations, personal leaves, medical leave, and other non‑productive time to ensure adequate staffing. Maintain accurate employee records, including timecards, job descriptions, and required documentation. Assist with developing new forms and process improvements for company and departmental use. Source promotional materials, request supplier bids, and maintain adequate inventory for employees, customers, and facilities. What We're Looking For Required Skills & Abilities Strong ability to prioritize service work in a fast‑paced environment. Proven history of delivering positive customer satisfaction. Professional demeanor and confidence when interacting with customers and external partners. Excellent organizational and multitasking skills. Ability to work well under pressure and as part of a team. Basic computer proficiency. Valid driver's license with an insurable driving record. Education & Experience High School Diploma or GED required. Prior experience in a parts and/or service environment , preferably coordinating technicians and service operations. Mechanical aptitude or experience with forklifts or related equipment strongly preferred. Previous customer service experience is a plus.
