Overview We are seeking a dynamic and detail-oriented bilingual Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring smooth office management and exceptional support for our staff and clients. Duties Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and providing outstanding customer service with professional phone etiquette. Coordinate calendar management, schedule appointments, and organize meetings using productivity software and calendar tools. Perform data entry tasks accurately using spreadsheets and word processing programs, ensuring all records are up-to-date and well-organized. Handle clerical duties such as filing, proofreading documents, and maintaining office supplies inventory to support daily operations. Utilize computer literacy skills to prepare reports, correspondence, and presentations while ensuring high-quality output through meticulous proofreading. Support office management activities by overseeing office equipment, managing incoming correspondence, and assisting with special projects as needed. Provide excellent customer support by responding promptly to client inquiries via phone or email and maintaining positive client communication. Experience Previous office experience or administrative experience demonstrating proficiency in clerical tasks and office management functions. Strong computer skills with familiarity in Microsoft Office Suite (Word, Excel, Outlook) and productivity software. Experience with data entry, filing systems, and document proofreading to ensure accuracy and professionalism. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Bilingual abilities are a plus for effective communication with diverse clients and team members. Knowledge of QuickBooks or similar accounting software is advantageous for handling basic financial transactions.
