Office Coordinator Compassionate Hearts Case Management, LLC Macon, GA Job Details Part-time 1 day ago Qualifications HIPAA Scanning High school diploma or GED Medical administrative support Attention to detail Full Job Description CCSP Office Coordinator - Part-Time About the Position Compassionate Hearts Case Management (CHCM) is seeking a dependable, organized, and detail-oriented CCSP Office Coordinator to assist with the daily administrative operations of our Community Care Services Program (CCSP). The ideal candidate will have strong organizational and communication skills, be comfortable working in a fast-paced healthcare/case management environment, and be able to manage multiple tasks while maintaining accuracy and confidentiality. Previous experience with Georgia CCSP, Medicaid waiver programs, and/or Georgia Horizon is preferred but not required . Training will be provided as appropriate. Primary Responsibilities The CCSP Office Coordinator will provide administrative and program support to CHCM leadership, case managers, nurses, and other team members.
Responsibilities may include:
Assist with maintaining organized and accurate CCSP participant files. Scan, upload, copy, file, and organize participant documentation. Assist with tracking referrals and participants throughout the CCSP process. Request medical records from physicians, hospitals, and other healthcare providers and track requests until records are received. Assist with tracking nursing assessments, Level of Care (LOC) documentation, reassessments, and other time-sensitive program requirements. Assist with monitoring outstanding documents, signatures, and corrections. Provide administrative support related to Georgia Horizon documentation. Assist with maintaining spreadsheets, trackers, and other internal monitoring tools. Verify that required documents have been received and properly filed or uploaded. Assist case managers and administrative staff with preparing documents and participant information. Make and receive professional telephone calls with participants, representatives, providers, medical offices, and other community partners. Maintain confidentiality of participant and agency information in accordance with HIPAA and agency policies. Perform general office duties including answering phones, copying, scanning, filing, emailing, and data entry. Follow up on assigned administrative tasks and provide status updates to management. Assist with other CCSP administrative duties as assigned by the Administrator. Preferred Qualifications Previous experience with Georgia CCSP or another Medicaid waiver program. Experience using Georgia Horizon . Experience working in healthcare, home and community-based services, case management, social services, or a Medicaid-related environment. Knowledge of HIPAA and confidential record handling. Experience with electronic records and document-management systems. Proficiency with Microsoft Word, Excel, Outlook, and general computer applications. Skills We Are Looking For The successful candidate should be: Highly organized and detail-oriented. Dependable and punctual. Able to follow instructions and established procedures. Comfortable managing multiple assignments and deadlines. Able to work independently while also functioning as part of a team. Professional when communicating with participants, families, providers, and staff. Comfortable learning new computer systems and CCSP processes. Able to identify incomplete or missing information and follow through until tasks are completed. Committed to maintaining participant confidentiality. Education High school diploma or equivalent required. Additional education or training in healthcare administration, business administration, social services, medical office administration, or a related field is preferred. Schedule This is a part-time, in-office position . The specific work schedule will be discussed during the interview process.
