Pay:
$16.00-$18.00 per hour, based on experience 1st Priority Homecare is seeking a dynamic, organized, dependable, and compassionate Office Coordinator to support the daily operations of our in-home senior, disability, and special-needs care services. Because our offices are growing, this position will involve multiple responsibilities . We are looking for someone who can assist with office administration, caregiver recruiting and staffing, interviewing, hiring, orientation, client intake, scheduling, family communication, and general day-to-day office operations. The ideal candidate will have excellent organizational and communication skills, enjoy working with people, and have a genuine interest in serving seniors, individuals with disabilities, and individuals with special needs. Previous experience in home care, senior care, healthcare, disability services, caregiving, staffing, or working with these populations is strongly preferred. Responsibilities Manage daily front-office responsibilities and maintain a professional and welcoming environment Answer multi-line phones and respond to client, family, caregiver, and referral inquiries Greet visitors, applicants, caregivers, and clients with professionalism and warmth Review employment applications and resumes Interview prospective caregivers and direct-care staff Assist with hiring and onboarding new employees Conduct new caregiver orientation and review company policies and expectations Maintain employee files, credentials, and required documentation Recruit caregivers as staffing needs arise Coordinate caregiver schedules and client assignments Match caregivers with clients based on experience, availability, personality, and client needs Fill open shifts and respond to caregiver call-outs and schedule changes Monitor attendance, late arrivals, missed visits, and scheduling concerns Assist with EVV, electronic scheduling, and documentation systems Complete new client intake and gather information regarding client needs, preferences, schedules, and requested services Assist with coordinating the start of new client services Serve as a liaison between clients, families, caregivers, and management Maintain ongoing communication with clients and families Follow up regarding client satisfaction, concerns, or changes in service needs Assist caregivers with scheduling, documentation, and general employment-related questions Provide excellent customer service and address concerns in a timely and professional manner Maintain accurate client and employee information through data entry, filing, and electronic recordkeeping Protect confidential information and follow HIPAA and privacy requirements Assist with billing, payments, bookkeeping, or other basic financial recordkeeping as needed Use QuickBooks or similar software when applicable Assist with timekeeping and payroll-related documentation Maintain calendars, appointments, meetings, orientations, and interviews Prepare, proofread, scan, organize, and file documents Monitor office supplies and help maintain a clean, organized workspace Assist with community outreach and developing local referral relationships Help grow the local client base and caregiver workforce Assist management with additional duties necessary to successfully operate and grow the office Preferred Experience We are especially interested in candidates with experience in one or more of the following areas: Home care or private-duty care Senior or elderly care Disability or special-needs services Intellectual and developmental disability services Caregiving or DSP services Assisted living or long-term care Healthcare or medical office administration Caregiver staffing and scheduling Recruiting, interviewing, or employee onboarding Client intake or admissions Customer service Case management or service coordination General office administration Bookkeeping or QuickBooks Qualifications High school diploma or GED required Previous administrative, healthcare, home-care, staffing, or customer-service experience preferred Experience working with seniors, individuals with disabilities, or individuals with special needs strongly preferred Strong organizational and multitasking skills Excellent verbal and written communication skills Professional phone etiquette Comfortable interviewing and communicating expectations to employees Basic computer proficiency Familiarity with Microsoft Word, Excel, Outlook, and email Experience with QuickBooks or similar bookkeeping software is a plus Ability to learn scheduling, EVV, and client-management software Ability to handle confidential information appropriately Dependable, punctual, and detail-oriented Bilingual abilities are a plus Reliable transportation may be required for occasional client or community visits The Ideal Candidate We are looking for someone who is: Friendly and professional Compassionate and patient Highly organized Dependable and trustworthy Comfortable handling several responsibilities at once Able to work independently Able to solve problems and think on their feet Comfortable interacting with seniors, families, caregivers, and community partners Willing to take initiative without always waiting to be told what needs to be done Interested in growing with the company Because this is a growing operation, the Office Coordinator may initially perform duties that would eventually be divided among several positions as the location grows. This person may assist with office coordination, staffing, recruiting, scheduling, client intake, caregiver orientation, family communication, and administrative support. We are looking for someone who is excited about helping us build a strong, professional, and compassionate office while making a meaningful difference in the lives of the individuals and families we serve.
Pay:
