Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities Manage multi-line phone systems, directing calls with professionalism and courtesy while providing excellent customer service Handle front desk duties, greeting visitors, managing appointments, and maintaining a professional reception area Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office programs (Word, Excel) Organize and maintain filing systems—both digital and paper—to ensure easy retrieval of documents Assist with calendar management, scheduling meetings, and coordinating appointments Support office management activities including supply inventory, order processing, and equipment maintenance Proofread correspondence, reports, and documents for accuracy and clarity before distribution Provide general clerical support such as photocopying, faxing, mailing, and document preparation Utilize computer skills to update databases, prepare reports, and streamline administrative workflows Offer client communication support through phone conversations and email correspondence with professionalism and clarity Coordinate travel arrangements, including flights, hotels and rental cars Assist with basic bookkeeping, data entry and expense reporting Assist with company events Provide general support to managers Experience Proven administrative or clerical experience in an office environment is preferred Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and familiarity with productivity software Demonstrated organizational skills with the ability to manage multiple priorities efficiently Excellent phone etiquette and customer service skills to support front desk operations and client interactions Ability to work independently and handle confidential information responsibly Personal assistant or office management experience will be considered an asset Join us in creating a positive impact through efficient office operations!
