3-5 Years (Minimum 3 Years of Relevant Experience Required) Position Summary ADA Supplies is seeking an experienced, reliable, organized, and customer-focused Administrative & Sales Support Associate to join our team. This is a hands-on role for a candidate with at least 3 years of relevant experience supporting office or store operations, sales, customer service, and order processing. As a small business serving government agencies, commercial customers, and local organizations, we value team members who are adaptable, proactive, and comfortable working directly with vendors, customers, and internal team members. Experience working with government entities or supporting government sales is highly beneficial. This role combines office administration, sales and customer support, purchase and sales order processing, website/e-commerce order processing, inventory assistance, and general business operations. Key Responsibilities Administrative Support Manage email communications and correspondence using Microsoft Outlook. Prepare and edit documents using Microsoft Word. Maintain spreadsheets, reports, and basic data entry using Microsoft Excel. Organize electronic and physical files. Support general office operations and administrative tasks. Order Processing & Business Operations Process purchase orders, sales orders, invoices, and customer orders accurately and efficiently. Review order details, pricing, shipping information, and documentation for accuracy and completeness. Coordinate directly with vendors/suppliers, customers, and internal team members to resolve questions and keep orders moving. Enter, track, and update order status information from order receipt through fulfillment. Customer Service & Sales Support Support customers in person, by phone, via email, and through website/e-commerce channels. Provide professional customer service, product information, order updates, and sales support. Support retail sales floor activities and maintain a professional shopping environment. Process customer orders and inquiries received through the website, e-commerce sales channels, email, phone, and in person. Work with team members to ensure timely, accurate order fulfillment for government, commercial, and retail customers. Inventory & Warehouse Support Assist with inventory counts and stock management. Help stock shelves and maintain product displays. Support warehouse personnel with receiving and inventory-related tasks as needed. Help ensure products are organized and readily available. Additional Responsibilities Contribute to special projects and other duties as assigned. Assist in various areas of the business as operational needs require. Work collaboratively with teammates to support company goals and customer satisfaction. Qualifications Required 3-5 years of relevant experience in an office, administrative, retail/store, sales support, or order-processing environment; minimum 3 years required. Proficiency with Microsoft Outlook, Word, and Excel. Hands-on experience processing purchase orders, sales orders, invoices, and customer orders. Experience working directly with vendors/suppliers and customers. Strong organizational and time-management skills with the ability to manage multiple orders and priorities. Ability to work independently, follow through on details, and maintain accurate records. Excellent verbal and written communication skills with strong attention to detail and accuracy. Comfort using web-based systems and e-commerce/online sales tools to enter and process orders. Preferred Experience in retail, customer service, distribution, or small business operations. Experience coordinating purchasing, inventory, fulfillment, or vendor orders. Experience working with government entities, agencies, or public-sector customers. Familiarity with government contracting, procurement, or government sales processes. Ideal Candidate The successful candidate is an experienced, detail-oriented professional who can take ownership of day-to-day order processing while remaining flexible in a small-business environment. This individual should be comfortable moving between office administration, vendor and customer communication, sales/order processing, e-commerce activity, and inventory support, with a strong focus on accuracy, responsiveness, and follow-through. Physical Requirements Ability to stand and walk for extended periods while assisting customers. Ability to lift and move products weighing up to 20 pounds.
