Since 1996, our team has supported local businesses and nonprofits with managed IT, network security, and back-office technology solutions. We're a small, close-knit team that takes pride in doing meaningful work for our community — and we're looking for someone who wants to help our office run at its best. Job Summary We're hiring a dependable, organized Part-Time Administrative Assistant to keep our Līhu'e office running smoothly three days a week (Monday, Wednesday, Friday — approximately 19 hours). You'll be the friendly voice on the phone when the team is busy, and the person who makes sure the important details — invoices, mail, meeting notes, inventory, and scheduling — actually get done. This is a hands-on, variety-packed role with a consistent M/W/F schedule in a comfortable, air-conditioned office. Duties Answer incoming phone calls when the team is busy — take clear messages, route calls, and greet clients with aloha Manage QuickBooks tasks including accounts receivable, late fees, project invoices, and recurring invoices Perform pre-interview phone screens with job applicants and coordinate scheduling with the hiring team Prepare and ship USPS packages, including client thank-you chocolates Track inventory and schedule technician appointments Take accurate meeting minutes for Charter meetings Reschedule client appointments when plans change Maintain a clean, presentable office environment with light tidying Requirements Friendly, professional phone manner Strong organizational skills and follow-through Comfortable with QuickBooks, or a fast learner willing to be trained Basic computer proficiency — email, Google Workspace, and web-based tools Reliable attendance every Monday, Wednesday, and Friday Discretion with confidential client and financial information Positive attitude and team-first mindset Preferred Qualifications Prior administrative, receptionist, or bookkeeping experience Experience taking meeting minutes Why Join Us Local, small-team culture where you'll know everyone by name Consistent M/W/F part-time schedule — great for balancing family, school, or a second interest Comfortable, air-conditioned office in Līhu'e Meaningful work supporting Hawaii businesses and nonprofits Room to grow with the company
