Job Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the first point of contact for visitors and clients, manage administrative tasks with efficiency, and support various office functions to keep everything running seamlessly. Your proactive attitude and excellent communication skills will help foster a welcoming atmosphere and enhance overall productivity.
Hours:
Monday through Friday, 8:30 A.M. to 4:30 P.M. Paid Holidays, Vacation, and Personal Time. Responsibilities Greet visitors, answer multi-line phone systems, and direct calls with professional phone etiquette Manage front desk operations, including scheduling appointments and handling client inquiries Perform data entry tasks accurately using spreadsheets, Microsoft Office, and legal practice management software. Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents Assist with office management duties such as supply ordering, calendar management, and coordinating meetings Support customer service efforts by providing timely assistance and resolving basic client concerns Handle clerical tasks including proofreading documents, word processing, and managing correspondence Utilize technical proficiency in computer skills to troubleshoot minor issues and support office technology Qualifications Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel). Excellent typing speed and data entry skills with high accuracy; familiarity with spreadsheets essential Strong phone communication skills combined with professional phone etiquette Experience with QuickBooks or bookkeeping is a plus for handling financial records Demonstrated ability to multitask efficiently while maintaining attention to detail and proofreading accuracy Knowledge of office equipment such as multi-line phone systems, printers, and scanners Exceptional organizational skills with the ability to prioritize tasks effectively and manage time well Join us as an Office Assistant where your enthusiasm for organization and excellent communication will make a meaningful impact!
