Duties Manage front desk responsibilities, including greeting visitors and handling inquiries with professionalism and courtesy. Operate multi-line phone systems efficiently, directing calls and providing information as needed. Perform data entry and maintain accurate filing systems for client records and administrative documents. Utilize Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and scheduling materials. Assist with calendar management, scheduling appointments, and coordinating meetings for staff members. Provide exceptional customer service by addressing questions from clients, partners, and team members promptly and effectively. Skills Proven experience in administrative roles within a professional setting. Strong computer literacy, including proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace tools. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Effective phone etiquette and experience managing multi-line phone systems. Bilingual abilities are highly desirable to serve diverse client populations effectively. Clerical experience including proofreading, data entry, and document management. Knowledge of office procedures such as calendar management, time management techniques, and basic bookkeeping practices. Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a plus.
