About Us Alex Kincaid Law is a boutique law firm focused on estate planning, probate, business planning, and related legal services. We pride ourselves on providing exceptional client service while treating every client with kindness, respect, and professionalism. We are seeking an organized, dependable Administrative Assistant who enjoys helping people and thrives in a fast-paced environment. This position is much more than answering phones—it is often the first impression clients have of our firm. Position Summary The Administrative Assistant serves as the face of our office by welcoming clients, answering phones, managing schedules, and supporting our legal team. The ideal candidate is organized, professional, detail-oriented, and able to work independently while maintaining a warm and welcoming atmosphere. ResponsibilitiesClient Relations Welcome clients and visitors with professionalism and warmth. Answer incoming phone calls and direct calls appropriately. Schedule consultations and client appointments. Confirm appointments and follow up with clients as needed. Maintain office appearance Offer refreshments and ensure clients are comfortable during visits. Administrative Duties Maintain electronic and physical client files. Scan, save, and organize documents. Process incoming and outgoing mail. Prepare client packets and correspondence. Maintain office supplies and reception area. Assist with data entry and document management. Support attorneys and paralegals with administrative tasks. Office Operations Maintain confidentiality of all client information. Assist in keeping the office organized and running smoothly. Learn and utilize legal software and office technology. Work independently while recognizing when assistance is needed. Prioritize tasks in a busy office environment. Qualifications Prior administrative or office experience preferred. Excellent customer service skills. Strong written and verbal communication. Professional appearance and demeanor. Exceptional organizational skills and attention to detail. Ability to multitask and prioritize effectively. Comfortable learning new computer software. Experience with Microsoft Office (Word, Outlook, Excel). Ability to maintain strict confidentiality. Positive attitude and willingness to help wherever needed. Experience in a law office is helpful but not required . We are happy to train the right person. Ideal Candidate The successful candidate is someone who: Enjoys helping people.
