Administrative Assistant Job Summary:
The Administrative Assistant provides administrative support to ensure efficient operations of college programs and services. Responsibilities include managing office tasks, maintaining records, preparing correspondence and reports, coordinating schedules and events, assisting with budgets, and providing excellent customer service to students, faculty, staff, and visitors. This role supports departmental projects and promotes a welcoming, inclusive environment while working independently to prioritize tasks, meet deadlines, and follow established procedures.

Department Operations and Processes :
5 0 % Prepare and maintain records, databases, and reports with accuracy and confidentiality. Provide clerical support, including data entry, filing, and document preparation. Coordinate meetings, calendars, events, travel, and room reservations; update systems as needed. Assist with preparing materials and communications for meetings, presentations, and events. Support the creation and distribution of promotional materials for departmental programs. Manage office supplies, equipment maintenance, vendor requests, and routine purchases within budget. Maintain department internal webpage and assist with public relations materials. Student/Customer Service s : 4 0 % Greet and assist visitors in person, by phone, and email, providing information and directing inquiries as needed. Communicate clearly and courteously to support student success. Assist with outreach activities to share college information with internal and external audiences.
Other :
10 % Participate in cross-departmental initiatives and campus events. Identif y and recommend process enhancements to improve efficiency and service delivery. Perform other duties as assigned to support the mission, vision, strategic priorities and goals of the College and the primary unit, division and department of this position.
Physical :
Primary functions require ability to remain in a stationary position (sit and/or stand) greater than 50% of the time; to occasionally stoop, bend, kneel, reach; to lift, carry, push, and/or pull up to 10 pounds frequently ; to regularly operate office equipment requiring repetitive hand movement and fine coordination including the use of a computer keyboard; the ability communicate to exchange information; and the ability to learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions.
Environmental:
Work will often occur in an office setting; where temperatures may fluctuate between high and low temperatures occasionally; may experience varying noise levels occasionally.

Required Qualifications High School diploma or equivalent. Minimum of three ( 3 ) years of office support or related experience. Intermediate proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment. Ability to follow instructions, manage multiple tasks, and meet deadlines independently, seeking guidance only for complex or unclear situations. Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment. Desired Qualification s Experience working with computer information systems used for student and employee data and reporting such as Workday.
Department Specific Information:
This position will function as the initial contact for students, faculty, and staff visiting the Career & Job Placement Center (CJPC) for services. Provides information to guests of CJPC such as job search skills, using the Handshake platform, essential employability skills, and basic career readiness skills. Aids students/alum who need to create a profile on Handshake, use the appointment scheduler, and search for internship and job postings. Understands College of Lake County career and certificate programs of study and assists students in connecting to other resources and staff at the college. Provides guidance and mentoring to student workers and interns working in CJPC.

8:00 am - 4:30pm, Monday - Friday on campus
