Administrative Assistant (IMRF-Elgible) Hanover Park Park District - 3.0 Hanover Park, IL Job Details Part-time $20 - $24 an hour 8 hours ago Benefits Paid holidays Paid time off Employee assistance program Flexible schedule Qualifications Executive administrative support High school diploma or GED Driver's License Organizational skills Communications Business Administration Associate's degree Full Job Description The Hanover Park Park District is seeking a professional, organized, and proactive Administrative Assistant to provide executive, governance, and administrative support to the Executive Director, senior leadership team, and Board of Commissioners. This position serves as a central administrative resource for the District, supporting Board and committee operations, records management, compliance activities, office administration, and organizational initiatives that help advance our mission of Enriching Lives . We are looking for someone who takes pride in producing high-quality work, anticipates needs, solves problems, communicates effectively, and enjoys being a trusted resource for leadership, staff, and Board members. This is an IMRF-eligible, part-time position averaging 29 hours per week with a flexible schedule. Attendance at evening Board and committee meetings is required. Essential Functions Coordinate Board of Commissioners meetings, committee meetings, workshops, and special meetings. Experience preparing meeting materials, agendas, Board packets, minutes, official records, or governance documents is highly desirable. Support Open Meetings Act (OMA) and Freedom of Information Act (FOIA) processes. Maintain official records, governance files, and document retention systems. Draft correspondence, reports, presentations, and administrative communications. Assist with purchasing, inventory management, office supply ordering, uniform orders, and vendor coordination. Support research projects, process improvements, and special administrative initiatives. Serve as a liaison between departments, leadership, Board members, and external stakeholders. Assist with organizational communications, meetings, and events. Help ensure important projects, deadlines, and administrative processes remain organized and on track. Qualifications High school diploma or equivalent required. Associate's or Bachelor's degree in Public Administration, Business Administration, Parks & Recreation, Communications, or a related field preferred. Minimum of three (3) years of administrative, executive support, office management, Board support, or related experience preferred. Experience preparing meeting materials, minutes, official records, or governance documents is highly desirable. Strong written and verbal communication skills. Exceptional organizational skills and attention to detail. Ability to manage confidential and sensitive information with professionalism and discretion. Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. Ability to manage multiple priorities, work independently, and exercise sound judgment. Valid Illinois driver's license required.
