Job Description
A busy and growing real estate company is seeking an organized, energetic, and dependable office admin assistant to support daily operations, marketing, events, and field activities. This is not a traditional desk-only administrative position . The right candidate will enjoy variety and be comfortable transitioning between office responsibilities, preparing for appointments and meetings, assisting with property photo and video shoots, running local errands, and helping execute company and client events. We are looking for someone who is proactive, detail-oriented, professional, and willing to jump in wherever needed to help keep the team organized and operating efficiently. Key Responsibilities Keep leadership informed and prepared for daily appointments, meetings, and scheduled commitments Prepare materials and information for listing appointments Prepare materials and equipment for property photo and video appointments Assist on location during property photo and video shoots Carry, organize, set up, and assist with photo and video equipment Assist with capturing social media and video content for properties, events, and marketing Prepare marketing materials Open and organize new listing files Prepare for team, broker, and leadership meetings Take and transcribe meeting notes and organize follow-up items Manage office inventory Help keep the office organized, clean, stocked, and professional Attend and assist with company and client events Assist with event setup, execution, and breakdown Complete additional tasks as assigned What We're Looking For Highly organized with excellent attention to detail Highly dependable, punctual, and responsible Positive, professional, and team-oriented Able to manage multiple priorities in a fast-paced environment Comfortable taking initiative without needing constant direction Strong written and verbal communication skills Comfortable using technology and learning new programs Familiarity with major social media platforms Some experience with social media content, photography, or video is preferred Comfortable assisting behind the scenes with video and content production Real estate or administrative experience is a plus, but not required Physical & Field Requirements Because this position includes property shoots, events, and other responsibilities outside the office, candidates must be comfortable with an active work environment. The position requires the ability to carry and transport photo/video equipment and event materials, stand and move for extended periods, walk throughout properties and event venues, navigate stairs, and assist with equipment and event setup and breakdown. The Ideal Candidate You are the type of person who notices what needs to be done and handles it. You enjoy organization, but you also like having variety in your day. One moment you may be preparing materials for an appointment, the next you may be helping at a property video shoot, organizing an upcoming event, or getting a marketing campaign ready to mail.
