Work Schedule:

Monday-Friday, 8:00 AM-5:00 PM. Occasional Saturdays from 9:00 AM-1:00 PM may be required during busy periods, with flexibility and a rotating schedule available.

About The Company:

A growing, family-oriented residential construction organization is seeking an Administrative Assistant to join its team. The company is experiencing continued growth and offers an energetic, collaborative environment where employees are encouraged to learn, take ownership, and grow within the organization. The Administrative Assistant will serve as an important point of contact for customers while providing administrative and project coordination support. This role is ideal for someone who is organized, professional, personable, and comfortable balancing customer service with detailed administrative responsibilities. You will work closely with leadership, customers, vendors, and internal teams to help keep projects organized and moving forward from initial inquiry through completion.

Key Responsibilities:

Welcome visitors and serve as a professional first point of contact in the office Answer incoming calls, assist customers with questions, and help qualify new leads Follow up with customers regarding active and upcoming projects Assist with preparing quotes, proposals, contracts, and project documentation Enter and maintain accurate project and customer information within internal systems Help coordinate project schedules, meetings, and follow-up activities Gather information from field teams and update project records accordingly Assist with payment processing and customer account follow-up Communicate with vendors and internal teams regarding project needs Support permitting activities and maintain awareness of applicable local requirements Help customers understand available products, services, pricing, and project processes Assist with end-of-project follow-up and customer satisfaction efforts Coordinate meetings and provide administrative support to company leadership Help maintain organized project files and ensure information stays current throughout the project lifecycle

Qualifications:

2+ years of administrative, office coordination, project coordination, or similar experience High school diploma or equivalent required Strong communication and customer service skills Professional, polished, and confident demeanor Strong attention to detail and organizational abilities Comfortable managing multiple priorities and deadlines Ability to work independently and stay productive without constant supervision Strong critical-thinking and problem-solving skills Proficiency with Microsoft Office, particularly Outlook Construction or real estate experience is a plus, but not required Experience with project management or CRM software is helpful Comfortable learning new systems, products, and processes
