Job Description
Position Summary:
The General Office Assistant provides administrative and clerical support to the company's office and manufacturing operations. This position helps ensure that daily administrative activities are organized, accurate, and completed efficiently while providing support to Sales, Customer Service, Accounting, Purchasing, Engineering, Production, and Management. The ideal candidate is organized, dependable, detail-oriented, professional, and comfortable working in a fast-paced manufacturing environment. This position requires the ability to prioritize multiple tasks, communicate effectively with employees, customers, vendors, and management, and maintain confidentiality when handling company information. Essential Responsibilities General Office Administration Answer and direct incoming telephone calls and emails in a professional manner. Greet customers, vendors, visitors, and delivery personnel. Maintain a professional and organized reception and office area. Sort and distribute incoming mail and deliveries. Prepare outgoing mail, packages, and shipments as needed. Maintain office supplies and coordinate reordering when necessary. Assist with filing, scanning, copying, data entry, and document organization. Maintain electronic and paper records in an organized manner. Assist management and department personnel with administrative projects. Qualifications High school diploma or equivalent required. 1-3 years of administrative, office, customer service, manufacturing, or related experience preferred. Strong organizational and time-management skills. Excellent verbal and written communication skills. Strong attention to detail and accuracy. Ability to work independently and as part of a team. Ability to prioritize and manage multiple responsibilities. Professional and courteous demeanor. Basic understanding of Microsoft Office, including Outlook, Word, and Excel. Ability to learn company software, ERP systems, and other technology. Manufacturing or LED lighting industry experience is a plus. Preferred Skills Experience working in a manufacturing environment. Experience with an ERP system. Experience with purchase orders, sales orders, invoices, or shipping documentation. Basic Excel skills, including sorting, filtering, and data entry. Strong customer service skills. Ability to communicate effectively with both office and production employees. Bilingual English/Spanish skills are a plus. Physical & Work Environment Primarily office-based with regular interaction with the manufacturing floor. Must be able to walk through the manufacturing facility as needed. May occasionally lift or move office boxes, packages, samples, or supplies weighing up to approximately 25 pounds. Must follow all company safety policies when entering the manufacturing area. Requires regular use of a computer, telephone, and other office equipment. Key Performance Expectations Accuracy and timeliness of administrative work.
