Administrative Assistant Global PharmaDevice Solutions Lombard, IL Job Details Part-time $20 - $22 an hour 1 day ago Benefits Flexible schedule Qualifications ATS Administrative experience Attention to detail Organizational skills Time management Full Job Description Job Summary The Administrative Assistant will provide administrative, operational, and recruiting support to the consulting team. The ideal candidate is detail-oriented, professional, and comfortable managing multiple priorities in a fast-paced consulting environment. Key Responsibilities Office Administration Answer and direct incoming phone calls in a professional manner Manage general company communications and correspondence Order, organize, and maintain office supplies and equipment Coordinate with vendors and service providers to ensure uninterrupted office operations Maintain accurate vendor records and contact information Accounting & Administrative Support Draft and distribute client invoices and consulting quotes Track invoice status and assist with follow-up communications Input and organize monthly business receipts and expense documentation Assist with recordkeeping and document management Support reporting and other administrative projects as needed Recruiting & Consultant Support Screen resumes and applications for consultant positions Coordinate candidate communications and interview scheduling Conduct consultant outreach through email, LinkedIn, and other recruiting channels Maintain applicant tracking records and recruiting databases Assist with onboarding activities for new consultants Qualifications Associate's or Bachelor's degree preferred 2+ years of administrative, office management, recruiting, or related experience Strong written and verbal communication skills Excellent organizational skills and attention to detail Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Experience with invoicing, expense tracking, or bookkeeping support preferred Experience with recruiting, resume screening, or talent acquisition is a plus Ability to handle confidential information with discretion Self-motivated with strong time management skills
Pay:
$20.00 - $22.00 per hour Expected hours: No more than 20.0 per week
