ABOUT THE POSITION
Schwartz Financial Concepts is a successful, established financial-services practice seeking an organized, resourceful, and detail-oriented Administrative Assistant. This is a small professional office where the work is important, the standards are high, and people are still allowed to be people. The atmosphere is professional but comfortable—polished, not stuffy. Suits are not required. We are looking for someone who communicates warmly with clients, takes pride in doing excellent work, and can become a trusted part of the office. The right person will take ownership, notice what needs attention, and follow through without requiring constant direction. You should also be comfortable asking thoughtful questions when clarification is needed. Because this is a client-facing role involving sensitive financial and personal information, excellent judgment, discretion, communication, and attention to detail are essential.
RESPONSIBILITIES
Communicate professionally with clients by phone, email, and in person. Monitor correspondence and ensure that client questions, requests, and follow-up items are addressed promptly. Prepare, edit, organize, and proofread professional documents and communications. Maintain accurate electronic and physical files. Track deadlines, outstanding items, and follow-up needs. Identify problems, research possible solutions, and take appropriate action. Learn the systems, processes, and expectations of the business. Handle sensitive client and business information with discretion and confidentiality. Provide additional administrative and operational support as needed.
REQUIRED QUALIFICATIONS
Strong proficiency with Microsoft 365, especially Outlook, Word, and Excel. Proficiency with Adobe Acrobat Reader and PDF-based document workflows. Excellent computer skills and the ability to learn new technology quickly. Exceptional verbal, telephone, written communication, grammar, and proofreading skills. Excellent organization, time-management, critical-thinking, and problem-solving skills. Ability to prioritize competing responsibilities and follow through without repeated reminders. Ability to work independently with limited supervision. Willingness to ask questions, accept feedback, and learn. Professional demeanor, sound judgment, dependability, and consistent attention to accuracy. Respect for confidential client and business information.
PREFERRED QUALIFICATIONS
Previous administrative-assistant experience. Experience in insurance, securities, financial planning, or another regulated professional-services environment. Familiarity with health, life, short-term disability, long-term disability, long-term care, or related insurance products. Experience working directly with clients and managing sensitive financial or personal information. Industry experience is helpful but not required for an exceptional candidate who is highly capable, eager to learn, and able to meet the professional standards of the office.

SCHEDULE AND COMPENSATION
Approximately 25-35 hours per week. In-office position in Naperville, Illinois. Specific days and hours will be discussed during the interview process. $26-$29 per hour, based on experience.
EMPLOYMENT REQUIREMENTS
Due to the sensitive nature of the insurance and financial-services industry, employment is contingent upon successful completion of a background check and fingerprinting.
