Job Description

Sirius Staffing is seeking a Scheduling Coordinator to support scheduling and coordination in Rockford, IL.
Schedule:
Monday- Friday. 8a-5pThe Appointment Scheduling Coordinator is responsible for scheduling and coordinating medical examinations while ensuring client-specific requirements regarding provider specialty, location, and appointment needs are met. This position communicates regularly with clients, physician offices, and examinees and coordinates ancillary services such as transportation, interpretation, chaperones, and examination-site rental.
Key Responsibilities:
Schedule medical examinations using the company database and scheduling system.

Coordinate and confirm appointment dates and times with physician offices.

Communicate with clients regarding appointment scheduling, physician CVs, appointment changes, cancellations, no-shows, and medical records or imaging.

Confirm receipt of medical records for record-review referrals.

Prepare and send examination notification letters daily.

Maintain professional communication with physicians, clients, examinees, and internal team members.

Coordinate ancillary services, including interpreters, chaperones, transportation, and examination-site rentals when required.

Arrange lodging and transportation for out-of-town examinees as needed.

Respond to requests regarding report status and other appointment-related information.

Submit client invoices and billing-related issues to Accounting when charges are incurred.

Ensure required prepayments for services are received promptly.

Process mail, deliveries, and shipments as needed.

Provide scheduling and administrative support to other offices when required.

Maintain accurate and complete scheduling records and documentation.

Participate in required training and educational activities.

Perform additional administrative and scheduling duties as assigned.
Requirement:
Previous experience in appointment scheduling, medical scheduling, administrative support, customer service, call center operations, or a related position preferred.

Ability to manage multiple phone lines and a high volume of inbound and outbound calls.

Strong organizational and time-management skills with the ability to manage multiple appointments and priorities simultaneously.

Excellent verbal and written communication skills.

Strong attention to detail and commitment to accuracy.

Ability to work independently, prioritize daily responsibilities, and meet deadlines.

Ability to follow established procedures and management instructions accurately.

Comfortable communicating professionally with clients, physicians, medical offices, and examinees.

Ability to type a minimum of 35 WPM.Proficiency with computers and standard office equipment, including scanners, copiers, fax machines, and multi-line telephone systems.

Ability to learn and accurately utilize database and scheduling systems.

Demonstrated commitment to maintaining quality and reviewing work for accuracy.
