Position Summary QCA Roofing is looking for an organized, dependable, and proactive Project Administrator to join our team. This position is an important connection point between our office, Sales Team, Production Department, customers, municipalities, and other project partners. You'll help keep projects organized and moving forward from the sales-to-production handoff through project completion. Your day may include submitting a permit, checking on a project status, speaking with a homeowner, tracking down a signature, updating a job file, helping Production with documentation, or jumping in to help the office team with something unexpected. What You'll Be Doing-Project & Production Coordination Review projects entering production and make sure required documentation has been received Confirm production checklists are complete and follow up on missing information Maintain complete and organized project files within AccuLynx and company systems Help create a smooth handoff between Sales and Production Assist the Production Manager with project status tracking Permits, Municipalities & HOAs Prepare and submit permit applications and contractor registrations Track permits through approval Maintain accurate permit tracking and reporting Obtain required customer signatures and supporting documentation Communicate with municipalities when additional information is needed Schedule required municipal inspections Coordinate permit closeouts after project completion Submit and track HOA applications when required Customer Communication Conduct initial production welcome calls Be a friendly and helpful administrative contact for customers throughout production Communicate project expectations and next steps Provide updates regarding permits, scheduling, and project status Maintain accurate records of customer communication Help answer customer questions and connect them with the right team member when needed Route technical questions to the Production Manager Escalate customer concerns when necessary Project Documentation & Closeout Keep project records accurate and organized Upload documents, correspondence, signatures, and approvals Register manufacturer and labor warranties Process project closeout documentation Track warranty requests and route them appropriately Generate reports as requested by management General Office Support Answer incoming calls and emails professionally Draft and send internal and external communications Coordinate calendars, meetings, and appointments Greet office visitors and help create a welcoming environment Maintain digital and physical files Support the Office Manager and leadership team with administrative tasks and follow-through Occasionally assist with marketing, social media, and other company projects What Success Looks Like You don't need to know everything on day one. You'll know you're doing well when permits and documentation are moving, customers are receiving updates, project files are organized, warranties and closeouts are completed, and the team can trust that the administrative side of our projects is being taken care of. What We're Looking For High school diploma or equivalent required 2+ years of administrative, office support, project coordination, or operations experience preferred Strong organizational skills and attention to detail Friendly and professional communication skills Ability to manage multiple responsibilities and changing priorities Strong follow-through Comfortable communicating with customers, municipalities, vendors, and coworkers Willingness to take initiative and solve problems Ability to work independently while also being part of a team Proficiency with MacOS, Microsoft Office, and Google Workspace CRM or project management software experience is a plus QuickBooks Online experience is preferred Construction, roofing, restoration, home services, permitting, or project coordination experience is a plus — but we're also open to the right person who is ready to learn You Will Be a Great Fit If... Role Structure The Project Administrator reports to the Office Manager and works closely with the Production Manager, Sales Team, and company leadership . This is a project administration and coordination position. You will help keep the administrative side of production organized, but you will not be responsible for managing roofing crews, jobsite operations, or field production decisions.
